How to Bulk Delete Emails off of Profiles

Learn how to bulk delete emails off of a profile!

In some cases, you may accidentally link the incorrect email address to a profile. Now you have all of these emails flooding your timeline that overwhelm the emails you're really looking for! Or, you've noticed that a personal email has popped up on a client's timeline that doesn't look like it belongs there.

Trail makes it easy to remove unwanted emails from any profile. There are two methods you can utilise:

We HIGHLY recommend you use the first method, as this gives you much more control over what is removed from the profile. Once removed from a profile, the emails will still be visible in your Mailbox if your email integration is set up, where you can choose to re-link them if you later decide that you want them back.

Trail will not delete any emails from your email inbox.

However, if you have deleted an email from your email inbox that is currently on a client's profile, Trail will be unable to re-link that particular email if you remove it from the profile.

Method 1: Mass selecting and deleting emails

To bring up the bulk email selection tool, first navigate to your client's timeline, and click Toggle Emails on the timeline:

This will bring up little boxes to the left of every email on the profile.

By clicking each box, you can select which emails you want to delete. When you are happy with your selection, you can click Remove From Profile at the bottom:

Trail will give you a pop-up to confirm that you want to remove these emails off of a profile.

You can select up to 30 emails at a time to remove. To quickly select 30 emails, you can click the box at the top left near the timeline header.

Again, Trail will prompt you to confirm that you want these emails removed from the profile.

Method 2: Remove ALL Emails associated with a particular email address

Use this with caution, as this can lead to loss of information if improperly handled. We recommend this option only if you are certain that you do not want any emails or email attachments (documents) associated with a particular email address.

To remove all emails associated with a particular email address, navigate to the client's portal. From here, click the chain icon to the right of the client's email address.

An additional pop-up will come up to confirm that you no longer want to sync any future emails to this profile.

If there are any emails on this profile associated with this email address, a second pop-up will come up to confirm that you indeed want to remove ALL emails off of this profile:

By clicking Remove all historical records, you will remove all emails either sent or from that particular email address. Selecting the other option, Keep previous records, will stop any future emails from syncing to this profile, but will not remove any emails currently on the profile.
