When a Cover Item becomes Out of Force

How to reflect when a single cover item comes out of force while the policy continues to be active

If you have a situation where one cover item for one of the Lives Assured is coming out of force (or this can apply to the entire Policy as well), here is how to reflect this in Trail and the associated benefits:

  • You'll get a record of the historic cover item/ policy details which you can always refer back to on your client's Profile. βœ…

  • You will have a timestamp of when this happened. ⏲️

  • You will note down situation details that may be useful in the future as you continue your client relationship. 🀝

  • Step 3: DELETING the Cover Item from Policy


Step 1: Download the Policy Schedule

We recommend downloading the Policy Schedule - the Profile-based Summary PDF, for the particular client whose cover item/s are coming out of force. This is beneficial for capturing the exclusions, loadings and other details relating to the cover item.

Firstly, deselect any other entities and select only the name of the contact you want information for. Also to let the type of summary be "Default" which contains all the details of policy. Then "Generate":

After it is generated, DOWNLOAD a copy onto your device. πŸ‘

Make sure to CHECK all the information you want captured about this policy is there in the PDF.

Step 2: Attach Schedule as a Note onto the Profile

Notes are the best way to capture a snapshot of important information about the client, learn more about this here. And creating a Note is what we recommend you do next:

  • Comment within the Note anything that is important to refer back to about the policy/ cover item going out of force e.g. "John Smith's trauma cover with PL is coming out of force due to XYZ etc. and this change in situation ABC etc."

  • Attach the Policy Schedule you downloaded to the Note:

Step 3: Deleting the Cover Item from Policy

Now that you're completely sure that the cover information is captured as a record on your Client's Profile, you can then DELETE the cover item from the policy.

Please ONLY proceed if you have done Steps 1 and 2! βœ…

To do this, click into the Policy on the profile, and then into the COVER item coming out of force:

Then click the bin button on the bottom left of the Cover Details:

Then select "Remove" which permanently removes this Cover item from the Policy:

And with that you're all done! πŸ‘ The Cover item will be removed from the active policy in place.
