Rows & Columns in Spreadsheet

Selecting, inserting, deleting, moving and resizing rows and columns

Written by Holly Conrad Smith

A pro forma grows as the scheme does: a usage you forgot, a cost line that needs to move above the total. Spreadsheet handles inserting, deleting and moving rows and columns the way Excel does, and keeps every formula in the workbook pointed at the right cell afterward.

Select rows and columns

Click a row or column header to select the whole row or column. Shift+click another header to extend the selection, and drag across headers to sweep a range of rows or columns.

Insert, delete and move rows and columns

Right-click a selected row or column header to open its menu. Drag a selected band of rows or columns to move it. A caret shows where it will land.

Row Menu

Column menu

What each menu item does

Right-click a selected row header or column header to open its menu. Most items are the same for rows and columns. With several rows or columns selected, each item works on all of them, and its label shows how many, like Insert 3 rows above.

Cut, copy, and paste rows and columns

  • Cut (Cmd/Ctrl+X): copies the selected rows or columns and clears their contents. The rows or columns stay in place, and so does their formatting.

  • Copy (Cmd/Ctrl+C) and Paste (Cmd/Ctrl+V): copy and paste the selected rows or columns.

Deleting or moving rows or columns fixes up every formula in the workbook, including ones on other sheets that point at what moved. A reference to a deleted cell becomes #REF!, and a range that spanned the deleted rows shrinks to match. Getting this wrong would not throw an error. It would silently return the wrong number, so it is unit-tested.

Paste in the menu needs your browser's clipboard permission. The keyboard shortcut always works.

Insert and delete rows and columns

  • Insert 1 row above and Insert 1 row below, or Insert 1 column left and Insert 1 column right: add blank rows or columns next to your selection.

  • Delete row or Delete column: removes the selected rows or columns and pulls everything after them back. Formulas that pointed at them become #REF!. Press Cmd/Ctrl+Z to undo.

On the Usages sheet, Delete row deletes that usage from the project, and deleting a column removes that field from every usage. On the Blocks sheet, deleting a column removes that property from every block. Both sheets ask you to click Sure? first.

Clear and hide rows and columns

  • Clear row or Clear column, and Clear contents (Delete): remove the values and formulas. The rows or columns stay, and so does their formatting. To remove formatting too, choose Style > Clear formatting.

  • Hide row or Hide column: hides the rows or columns without deleting them. Formulas that point at them still work.

To show hidden rows or columns again, select the rows or columns on either side of them, right-click, and choose Unhide rows or Unhide columns.

Sort and filter by a column

These items are only in the column menu.

  • Sort sheet A → Z and Sort sheet Z → A: sort every row on the sheet by this column. Row 1 stays in place as the header, and formulas move with their cells.

  • Filter A…: show only some rows. Tick the values you want to keep, or type a condition like >5000, ~tower, or >=100 and <500. A plain word means "contains". Row 1 stays in place as the header.

When a filter is on, the menu shows Clear all filters to turn every filter off.

Dropdown on A… in the column menu, or Dropdown on row 3… in the row menu, offers a list of values to choose from in every cell of that column or row. Type the list yourself, one value per line, or pick a field from your project so the list stays up to date with the project.

A dropdown suggests values. It doesn't block others. A value that isn't on the list is still kept, with an outline around it. Where a row's list and a column's list cross, the column's list wins.

Freeze rows and columns

  • Freeze up to row 3 or Freeze up to column 1: keeps every row or column up to that one on screen while you scroll. The number is the last row or column you selected.

  • Unfreeze rows or Unfreeze columns: turns the freeze off.

Resize from the menu

Resize row… or Resize column… sets an exact height or width, in pixels, for every selected row or column.

Style rows and columns

Style opens bold, italic, long text, alignment, text colour, fill colour, borders, number format, and Clear formatting for the selected rows or columns. See Formatting Cells in Spreadsheet.

The Features sheet's row menu also has Zoom to on map and Select on map. See The Features Sheet in Spreadsheet.

Resize rows and columns

Drag a row or column edge to resize it, or double-click a column's edge to fit it to its widest cell.

Undo

Press Cmd/Ctrl+Z to undo an insert, delete or move, and Cmd/Ctrl+Shift+Z (or Cmd/Ctrl+Y) to redo. Press Delete to clear the contents of the current selection without removing the row or column itself.

See Formatting Cells in Spreadsheet for colours, borders and text wrapping, and Column Types in Spreadsheet for drag-fill and continuing a series.
