Importing Donation Categories for Multi-Give

How to upload your Donation Categories/Fund List to your Multi-Give

Before getting started, it is important to note that this is an advanced feature of the platform. In order to fully deploy the feature, training with GiveGab staff is required in order to best customize this tool to fit your team's needs.

What are Donation Categories?

Donation Categories within the platform are essentially what you would call your fund list. It is the list of your funds included on your donation form plus any additional metadata, like Fund ID, that you would like to report on.

Where are Donation Categories Located?

Within the Platform, every campaign will have a Donation Categories tab:

When you click on the tab, you are brought to your Category list. Starting off, the Donation Categories tab will look like this:

As you import Donation Headers and Categories, your list will resemble something like this:

What are Donation Headers?

Donation Headers are the headers for the field boxes that correspond to the information that the donor is choosing from or inputting on the form.

How do I Import Donation Categories?

If our team has not assisted in setting up your initial Donation Categories and you're starting off from scratch, please follow the below steps.

1. There is a format that Donation Categories MUST be saved in, in order to import into the platform correctly. If your Donation Categories tab is blank, you can export the template by clicking the "Export" button for the Donation Categories section:

2. Add in the Filename, select the file type you'd like to edit, and click "Export." We recommend utilizing the CSV format, because it is the easiest to modify:

3. When you click "Export," this is what the sheet will look like:

The Fields

  • Name: this is a platform configured value. The platform will create a unique Name value for the fund that is imported; leave this column blank on the CSV.

  • Label: this is the Fund Name as it appears to your donors. Add the names of your funds in this column and double check the spelling.

  • Parent Name: this is an Advanced Feature of Donation Categories. This allows you to categorize your Funds under different Parent Categories (Animals, Education, Health Care, Athletics, Environment, etc). Leave this value blank on the CSV.

  • Active?: the only value that should be in this column is "TRUE".

  • Sort Index: this allows you to sort the order your funds will appear in, if you are going to utilize the Dropdown to populate the fund list on your form. If using the Dropdown, add values (0, 1, 2, 3...) next to the fund for the order you want them to appear in. If using the Field feature, the number order for the funds does not matter. 


4. If you have any additional metadata fields you would like to report on for the funds, add the column label after Sort Index and insert the corresponding value for each fund:


5. Your sheet should look something like this when completely filled out with all of the necessary information:

6. Save the file as a CSV, in order to import the categories.

7. Back within the Donation Categories tab, click the "Import" button within the Donation Categories section:


8. Select the CSV file you just saved, make sure the file type is correctly selected, and click "Import":


9. If your import was successful, you will see a blue box across the screen that says "Import of donation categories is complete" and all of your Donation Categories will be listed:

How do I Edit Donation Categories?

If you have previously imported Donation Categories that you would like to add to or edit, there are a few ways to do this.

***First, and most simple:

1. If you want to quickly add a new fund without any additional metadata attached to it, you can simply click on the "+ ADD CHILD" button:

2. This will prompt you to enter the Fund Name next to Label:

3. Enter the Fund Name and click "Save":

4. Now the new fund is within the list:


5. You can also delete a fund from the Donation Categories list, by clicking the corresponding red "X":


6. You can also edit the fund information, by clicking the corresponding "Edit" button:

***Second, more complex:

If you need to update your list with all of the corresponding metadata, follow the below steps:

1. Within the Donation Categories tab, click "Export":

2. Update the Filename if you wish, select CSV as the File Type, and click "Export":

 

3. When you export your Donation Categories, the sheet will look like this:

***Notice that the Name column value is now filled out for your funds. This was generated by the Platform and does not need to be updated***

4. To add a new Fund, you're going to add it to the bottom of the list, following the same configuration outlined in step 3 of "How do I Import Donation Categories?":

  • Name: Leave Blank

  • Label: Add in the Fund Name

  • Parent Name: Leave Blank

  • Active?: Add in "TRUE"

  • Sort Index: If utilizing the Dropdown, update the order that you would like your funds to appear in to accommodate the new fund being added. If utilizing the Field, just add the next number in sequence (7 for our example).

  • Fund ID: Add in the corresponding Fund ID

5. To delete a fund, you'll completely delete the entire row of that fund within the sheet.

6. To edit a fund, you can edit the Label, Sort Index, or Fund ID on the sheet as needed.

7. Back within the Donation Categories tab, click the "Import" button within the Donation Categories section:

8. Select the CSV file you just saved, make sure the file type is correctly selected, and click "Import":

9. If your import was successful, you will see a blue box across the screen that says "Import of donation categories is complete." All of your new Donation Categories will be listed in the order according the the Sort Index:


That is the process of adding, editing, and removing Donation Categories. Once you have those imported, you can enable Multi-Give on your form for the Categories to appear.
