Keep your team up to date with the latest changes to your process map. This article will show you how to notify your co-workers.

All process and activity changes are stored in the change log. If you want to see the change log of an activity or process, you turn on 'Edit mode' and click 'Change log'.

The activity change log shows you all the changes made to the content of the activity, who made the change and when it was done.

The process change log automatically records all changes to your process and its editors, roles, work instructions and activities. You can also browse through the revisions to see the differences.

Some process changes are important to communicate to your team. Therefore, all process maps are by default set to ask whether you want to make a new version when they have been edited.

Turn on 'Edit mode', make all the adjustments you need, and press 'Save changes'. The system will now ask you if you would like to make a new version and notify users.

Give your new version a name - this makes it easier to distinguish the diagram change in the change log.

Leave a comment to explain your changes - this is what will be shared under 'comments' in your process. By default we state which changes were made, however, you are welcomed to adapt it to your needs.

Now your team is up to date and able to interact with each other about the changes you have made.

If you make a change but do not want to turn it into a formal version, you still have the option of sending out notifications to users by simply creating a comment in the feed of the process (or the relevant activity, if you did not make a change to the process map). Creating a feed comment sends out a notification showing the content of the comment and were it was made.

Your process settings are what determines if notifications are sent to process owners and editors only or also to process members. If you choose the 'Send no notifications' option, notifications will only be sent to the users you manually add in the wizard when creating the version.
