Did you ever send a suggestion to a colleague or manager without getting a response? Let alone an action? It's difficult to understand issues, ideas, and questions if there is no context. With Gluu's comment widget questions are asked directly inside the situation, clarifying the circumstances for the reader.

Let me give you an example: A technician follows your "Maintain machine XYZ" process and its work instructions. As he's executing the activity "Lubricate machine" he realizes that he knows a faster way than what is described in the work instruction. Now he adds a comment with his suggestion. This is then automatically shared with other technicians who can say if they agree or disagree. When the process owner later reviews the process then he can easily see the improvement ideas that are worth looking closer into.

How you add a comment

Go to the activity page (the one with the work instruction) and click on comments in the menu on the left (note that the process owner may have disabled this feature for a specific page, though we recommend keeping comments open).

Now simply write your comment. This can include files and links. Remember that you don't necessarily need to provide much context since this is related to the work instruction above.

Hit "share" to add your comment. Once you add it you have 10 seconds to delete it before it is stored in the process.

Who sees my comment?

Your comment is automatically shared with everybody that follows the process that your activity is part of. This group is the process owner, the editors, and the people who have the role that is responsible for the activity.

They see your comment immediately on 'My overview' and in their 'Activity update emails' (read how to manage comment notifications to specific user groups).

Everybody can click the 'activity link' in the update and quickly find the page where they can reply, or show if they Agree or Disagree:

Everything is stored and searchable. This way you can always find issues, ideas, questions, and answers in the right context.

Filtering comments

You can always filter an activity's comments by searching for a specific comment, selecting a time-frame, by the label, or by who agrees or disagrees.

Now it may be worthwhile to look into how to use labels to flag important comments.
