SmartGolf (SmartPadel) automates access (PIN/QR) and the electrical equipment of your facilities from bookings. What it is, authorization, installation, configuration, fields, timing, use, notifications and FAQs.

What is this integration?

The SmartGolf integration connects Golfmanager with the SmartPadel court automation system.

Based on the bookings, it automates both the access control (opening doors, accesses and barriers) and the switching on of the facility's electrical equipment (for example, the lights and other devices). The player receives an access code (4-digit PIN, also as a QR) by email and uses it to enter.

SmartGolf / SmartPadel is the system that controls the accesses and electrical devices of your facilities. With this integration, when booking in Golfmanager the facility prepares itself: the player opens the access with their PIN/QR and the lights and other equipment turn on during their time slot.

What problem does it solve?

  • Autonomous access: the player enters with their code, with no need for staff to open up.

  • Automatic equipment: lights and other devices turn on only during the booking, saving energy.

  • Better experience: the code arrives by email with the booking confirmation.

  • Everything synchronized: modifying or cancelling the booking also updates the access and the equipment.

How does it work?

  1. The player makes a booking in Golfmanager.

  2. Golfmanager registers the booking in SmartGolf and adds the access code (PIN/QR) to the email confirmation.

  3. At the booked time, the player opens the access with their PIN/QR and the lights and equipment turn on automatically.

  4. If they modify or cancel the booking, the access and the equipment are updated or removed in SmartGolf.

Which systems does it connect and in which direction does the data travel?

It connects Golfmanager bookings with SmartGolf/SmartPadel, in both directions:

  • Golfmanager → SmartGolf: each booking (new, modification or cancellation) is sent to SmartGolf, which prepares the access and the equipment.

  • SmartGolf → Golfmanager: SmartGolf sends notifications (for example, of accesses), which are logged.

Prerequisites (before enabling the integration)

  1. Have the SmartGolf/SmartPadel system installed at your facilities (doors, accesses, electrical equipment).

  2. Have the SmartGolf module installed in Golfmanager, together with the bookings and customer zone modules.

  3. The API Key provided by the SmartPadel team. Test (sandbox) accounts are free, but they are generated by SmartPadel.

  4. The identifiers of your resources in SmartPadel to link them.

  5. Administration permissions to configure it.

Authorization form

For this external company to connect through an API, you normally need to send Golfmanager a document filled in and signed by both parties before you start. Your implementation team will tell you the specific form and how to submit it.

Installing the module

The SmartGolf module is installed from the App Market (search for "SmartGolf" and install it) or with help from our support team. If it is not available to you, contact us through the blue bubble.

Once installed, the SmartGolf menu appears with the Settings, Notifications and Log options.

How to set it up (step by step)

Location: Menu > SmartGolf > Settings

Step 1 — General configuration

  1. Go to Menu > SmartGolf > Settings.

  2. Enter the API Key (provided by SmartPadel).

  3. Adjust the timing (offsets) for doors (start/end) and equipment (start/end), in seconds (see below).

  4. Leave Production Mode disabled to run tests (sandbox) and enable it when everything works.

  5. Save the changes. On saving, Golfmanager pairs with SmartPadel automatically (it generates its own Client Id and Client Secret).

Step 2 — Link and test the resources

  1. Go to Bookings > Resources.

  2. Create or edit a bookable resource and, in the SmartGolf identifier field, select from the dropdown the equivalent SmartPadel resource.

  3. Click the "SmartGolf Test" button to validate: it enables that resource's equipment for about 15 seconds.

  4. Repeat for each resource that uses SmartGolf.

⚠️ Each resource must be linked with its equivalent in SmartPadel. Start in test mode (sandbox) and move to production when everything works. The API Key is stored encrypted.

The configuration fields in detail

Below is an explanation of each field in the SmartGolf configuration.

1) API Key

• Field name: API Key

• Description: The key that grants access to SmartPadel's services. It is provided by the SmartPadel team and stored encrypted.

• Impact on the system: It is the main credential: without it, the integration does not connect.

• Usage example: you copy it from your SmartPadel account (sandbox or production).

  • What happens when it is used: on saving it, Golfmanager pairs with SmartPadel.

  • System behavior: if incorrect, operations fail due to authentication.

2) Doors — offset start (in seconds)

• Field name: Door - offset start

• Description: How long before the booking the door/access unlocks (in seconds).

• Impact on the system: It gives the player some margin to enter before the exact time.

• Usage example: -300 (5 minutes before).

  • What happens when it is used: access is enabled that long before the booking starts.

  • System behavior: a negative value means "before" the start time.

3) Doors — offset end (in seconds)

• Field name: Door - offset end

• Description: How long after the booking the door/access locks (in seconds).

• Impact on the system: It allows leaving with some margin after the booking.

• Usage example: 300 (5 minutes after).

  • What happens when it is used: access remains available that long after the booking ends.

  • System behavior: a positive value means "after" the end time.

4) Equipment — offset start (in seconds)

• Field name: Output (electrical devices) - offset start

• Description: How long before the booking the lights and other equipment turn on.

• Impact on the system: It ensures the facility is ready when the player arrives.

• Usage example: -300 (5 minutes before).

  • What happens when it is used: the equipment turns on that long before the start.

  • System behavior: a negative value = before the start.

5) Equipment — offset end (in seconds)

• Field name: Output (electrical devices) - offset end

• Description: How long after the booking the lights and equipment turn off.

• Impact on the system: It avoids them turning off right at the end and saves energy afterwards.

• Usage example: 300 (5 minutes after).

  • What happens when it is used: the equipment turns off that long after the end.

  • System behavior: a positive value = after the end.

6) Production Mode

• Field name: Production Mode

• Description: Switches between the real (production) environment and the test (sandbox) one.

• Impact on the system: In test mode it does not act on the real facilities; in production it does.

• Usage example: you leave it disabled during setup and enable it when going live.

  • What happens when it is used: once enabled, bookings really control doors and equipment.

  • System behavior: disabled = sandbox; enabled = production.

7) SmartGolf identifier (of the resource)

• Field name: SmartGolf identifier, in each bookable resource (Bookings > Resources)

• Description: Links the Golfmanager resource with the equivalent SmartPadel resource (chosen from a dropdown).

• Impact on the system: It indicates which SmartPadel door/court each resource corresponds to.

• Usage example: you select SmartPadel's "Court 1" for your "Court 1" resource.

  • What happens when it is used: the bookings of that resource prepare the correct access and equipment.

  • System behavior: once filled in, the "SmartGolf Test" button appears; without linking, that resource is not automated.

8) Door access code (of the booking)

• Field name: Door access code (in the booking)

• Description: A 4-digit PIN that is generated automatically for each booking and sent to the player by email (also as a QR).

• Impact on the system: It is what the player uses to open the access.

• Usage example: the player receives the code in their confirmation email.

  • What happens when it is used: when entered at the entrance, the system validates and opens.

  • System behavior: it is generated on its own; normally you do not need to edit it.

ℹ️ Note: Golfmanager also automatically generates a Client Id and a Client Secret when saving the API Key. They are internal to the pairing with SmartPadel and should not be touched. The exact names may vary slightly depending on your version and language.

Timing settings (access and equipment)

You can define how long before and how long after the booking the access is enabled and the equipment is activated, in seconds:

For example, a value of -300 seconds means 5 minutes before the booking, and +300 means 5 minutes after. This way the player can enter with a little margin and the lights do not turn off right when they finish.

How it is used day to day

  • The player books and receives their access code (PIN/QR) in the confirmation email.

  • At their time, they enter with the PIN/QR and enjoy the facility with the lights and equipment already on.

  • Modifications and cancellations are reflected automatically in the access and the equipment.

  • You can check the SmartGolf Notifications and Log to review accesses and operations.

Notifications and log

  • Notifications (Menu > SmartGolf > Notifications): the alerts SmartPadel sends about accesses and events of each booking.

  • Log (Menu > SmartGolf > Log): the history of operations sent to SmartPadel (new bookings, modifications and cancellations), with their result (successful or failed), what was sent, the response and any error.

These are the screens to check when an access or an automation does not work as expected.

Limitations to keep in mind

  • Each resource must be linked with its equivalent in SmartPadel.

  • Access depends on the email with the code: the player needs their PIN/QR.

  • It depends on the SmartGolf/SmartPadel system and its connection; if it is unavailable, the automatic access and equipment do not work.

  • Do not mix test mode with live mode: in production it acts on the real facilities.

Frequently asked questions

What is SmartGolf / SmartPadel?

It is the system that controls the accesses (doors, barriers) and the electrical equipment (lights, etc.) of your facilities. This integration connects it with your bookings so everything prepares itself.

How does the player receive the access code?

It is generated automatically when the booking is confirmed and sent in the confirmation email as a 4-digit PIN (also as a QR).

The access does not open with the PIN.

Check that the resource is linked to SmartPadel (its SmartGolf identifier) and that the player's code is the one for their booking.

The lights or equipment do not turn on in time.

Adjust the equipment timing (offsets) (start/end). For example, set the start offset to -300 so they turn on 5 minutes before.

The "SmartGolf Test" button fails.

It is usually due to an incorrect API Key or an unlinked resource. Check the API Key and the resource's SmartGolf identifier.

The player does not receive the code.

Check that the booking was confirmed and that the player's email is correct (the code travels in the confirmation email).

What is the difference between test mode (sandbox) and live mode?

In sandbox it does not act on the real facilities: it only validates the circuit. In production bookings really control doors and equipment.

Where do I see the accesses and events?

In SmartGolf > Notifications. And in SmartGolf > Log you will see the operations sent to SmartPadel and their result.

What happens if I modify or cancel a booking?

The access and the equipment are updated (if you modify) or removed (if you cancel) in SmartPadel automatically.

Do I have to touch the Client Id or the Client Secret?

No. They are generated by Golfmanager automatically when you save the API Key, for the pairing with SmartPadel.

Is it only for padel?

The system comes from the padel world (SmartPadel), but the integration automates access and equipment per booking in the facilities you have equipped with SmartGolf.

Recommended best practices

  • Link all resources with their equivalent in SmartPadel and test them with "SmartGolf Test".

  • Adjust the timing (offsets) so the player enters with a margin and the lights cover the whole booking.

  • Test first in sandbox mode before enabling production.

  • Review the notifications and the log whenever there is an access issue.
