Who this article is for: it applies to clubs that manage tournaments with Golf Genius.
What is this integration?
The Golf Genius integration connects Golfmanager with Golf Genius, one of the world's leading golf competition software platforms. It allows you to register players in tournaments easily (online or from reception) and to keep the registrants, tee times and results synced between both systems.
In Golf Genius, tournaments are organized into events and rounds. The integration links them with Golfmanager's tournaments module and its bookings: when a player books a booking type (rate) linked to a tournament, they are registered automatically.
The tee mapping (Tee Resource Mapping) links each tee of a Golf Genius event with a Golfmanager resource (course/starting hole), so that tee times are imported to the right place.
What problem does it solve?
Avoids double work: registrants, tee times and results are shared between Golfmanager and Golf Genius without typing them twice.
Integrated sign-up: signing up for the tournament is as easy as booking a green fee; the sign-up is reflected as a booking in Golfmanager.
Competition data up to date: handicaps, licenses and results stay consistent between the two systems.
Centralizes the club's operations even when the competition is managed in Golf Genius.
Integration types (game modes)
There are two ways to manage a golf tournament:
British / Australian mode: the club decides which days have a tournament, and players choose when and with whom to play.
International mode: players sign up to a pool of registrants and the club generates the pairings the day before.
The integration is currently active in British / Australian mode. International mode will be available soon.
How British / Australian mode works: the club marks the tournament days. On those days, the player can play on the course and decide whether to do so in tournament mode or casual mode, choosing their tee time and their playing partners. For example, players A and B decide to play on Saturday at 10:00 and only player A joins the tournament: they both book together, player A takes the tournament rate and player B the normal green fee rate. They play together, but only player A receives a scorecard and is eligible for prizes.
Which systems does it connect and in which direction does the data flow?
It connects Golfmanager with Golf Genius through its API, in both directions:
Golf Genius → Golfmanager: when you import or sync an event, its data, registrants, tee times and results are brought in.
Golfmanager → Golf Genius: when a player signs up (or cancels), the sign-up is sent to Golf Genius. You can also push to Golf Genius the sign-ups created in Golfmanager that are not yet on the platform.
What information is exchanged?

Authorization form
To authorize the integration between your club and Golf Genius through the API, before you start you must send Golfmanager the authorization document filled in and signed by both parties. You will find the document and the procedure at this link.
Prerequisites (before activating the integration)
Have a Golf Genius account and its API key (provided by Golf Genius from your account dashboard).
Have the Golf Genius module installed (downloaded from the App Market), together with the bookings and tournaments modules.
Having sent the authorization form signed by both parties.
That players have first name, last name and email in their profile (Golf Genius requires them), and their license and handicap if the tournament requires it.
System administrator permissions to configure the integration.
How to set it up (step by step)
Getting started has three blocks: (A) install and connect the module, (B) link a booking type to a tournament, and (C) map the tees. Further down, in "Explanation of each field", you have the detail of what each field does.
A) Install and connect the module
Go to Settings > App Market and download the Golf Genius app.
Go to Golf Genius > Configuration.
Enter the API key provided by Golf Genius. Press Enter or click outside the field to confirm the value.
Select the Environment: Production (golfgenius.com) to operate for real, or Test/Staging (ggstest.com) to test.
Select, if applicable, the default Booking type and the Payment method to be used when syncing/charging.
Save the changes.
B) Link a booking type to a tournament
When the module is installed, the booking types gain the ability to be linked to a Golf Genius tournament. This way, every time someone books that rate, they are registered automatically in the linked tournament. The rate is visible at reception and online like any green fee.
Go to the booking types configuration and create the type you want (for example, "Rolex Tournament").
In the Identification method field, choose the option Search customer (essential: the player must be identified).
At the bottom, in Golf Genius tournament ID, choose from the dropdown the tournament where players who book this rate will be registered.
Enable Does it require a license? if the tournament requires playing with a federation license.
Save the changes.
Note. You can limit the booking type by dates, days of the week, etc., and customize the confirmation, cancellation and reminder emails to adapt them to your tournament.
C) Tee mapping (Tee Resource Mapping)
In Golf Genius > Tee Resource Mapping, link each tee of the event with a Golfmanager resource:
Choose the Event (it is loaded from Golf Genius).
Select the Tee of that event.
Assign the Golfmanager Resource (course/starting hole) to it.
Save the changes.
⚠️ Without the API key, no operation works. And without the tee mapping, tee times cannot be assigned to the correct resource.
Explanation of each field
First, the module fields in Golf Genius > Configuration; then, the fields that appear when linking a booking type to a tournament. For each one we indicate what it is, its impact, an example and how the system behaves.
1. API key
Field name: API key.
Description: authentication key that identifies your club to the Golf Genius API. It is provided by Golf Genius and stored encrypted.
Impact on the system: it is the main credential; without it, no operation with Golf Genius works.
Usage example: you paste the key from your Golf Genius account dashboard and press Enter (or click outside the field) to confirm.
What happens when it is used: Golfmanager sends it on every call to list events, sign up, sync or cancel.
System behavior: if it is missing or incorrect, the system warns that the application key (apiKey) is missing and blocks operations.
2. Environment
Field name: Environment.
Description: indicates which Golf Genius server the integration works against: Production (golfgenius.com) or Test/Staging (ggstest.com).
Impact on the system: determines whether operations are real or test ones.
Usage example: during setup you choose "Test" to validate the flow; once everything works, you switch to "Production".
What happens when it is used: all calls are directed to the server of the selected environment.
System behavior: by default it works in Production; remember to switch back to Production before opening sign-ups to the public.
3. Booking type (default)
Field name: Booking type.
Description: the default booking type that the system uses when creating bookings while importing tee times from Golf Genius.
Impact on the system: determines with which rate/conditions the bookings of the imported tee times are generated.
Usage example: you select a tournament booking type that you have already created.
What happens when it is used: when syncing tee times, the resulting bookings take this booking type.
System behavior: if it is not configured, tee times are imported without an associated default booking type.
4. Payment method
Field name: Payment method.
Description: the payment method with which the charge is recorded when Golf Genius reports paid bookings.
Impact on the system: determines how the payment of paid sign-ups is posted.
Usage example: you select the payment method you want to associate with tournament charges.
What happens when it is used: the sign-up payment is recorded with this payment method.
System behavior: if it is not configured, no specific payment method is applied for these charges.
5. Golf Genius tournament ID (in the booking type)
Field name: Golf Genius tournament ID.
Description: a dropdown, inside the booking type, that links that rate to a specific tournament (round/event) in Golf Genius.
Impact on the system: it is what turns a normal rate into a "tournament rate".
Usage example: in the "Rolex Tournament" booking type you choose the corresponding tournament from the dropdown.
What happens when it is used: every time someone books that booking type, they are automatically registered in the linked tournament.
System behavior: if it is empty, the rate works as a normal green fee and does not register in any tournament.
6. Does it require a license?
Field name: Does it require a license?
Description: a checkbox, inside the booking type, that requires the player to have a federation license in order to book that rate.
Impact on the system: blocks the sign-up of anyone who does not have a license in their profile.
Usage example: you enable it for tournaments that require playing with a license.
What happens when it is used: when booking, the system checks the player's license.
System behavior: if the player has no license, a notice is shown stating that it was not possible to find a license and that this booking type requires one.
7. Identification method = Search customer
Field name: Identification method.
Description: determines how the player is identified when booking. For tournament booking types it must be Search customer.
Impact on the system: ensures that the booking is tied to a specific customer (Golf Genius does not allow anonymous sign-ups).
Usage example: in the tournament booking type you select "Search customer" in this field.
What happens when it is used: when booking, you must search for and choose the player, whose details are sent to Golf Genius.
System behavior: if the booking has no customer, the system warns that anonymous sign-ups are not allowed and asks you to identify yourself.
How it is used day to day
Player sign-up — online (portal)
The player books a tee time like any green fee, choosing the desired day and time.
When choosing the rate, they select the Tournament rate.
Search for and choose the player (remember: the booking type uses "Search customer").
Pay the entry fee to confirm the booking. At that point they are registered in the tournament and the data is sent to Golf Genius.
Player sign-up — reception (administration)
Choose the day and time to sign the player up and select the Tournament rate.
When booking, the player is registered in the tournament automatically.
If the sign-up is cancelled, Golfmanager also cancels it in Golf Genius.
Import and sync tournaments
From the administration, click Import from Golf Genius and choose the event to import into the tournaments module. The tournament is created in Golfmanager linked to Golf Genius.
From the tournament detail, click Sync with Golf Genius and check what to bring in/send:
Event data (name, dates, category, status).
Registrants only (without tee times) or Tee times, which create registrants and bookings.
Results (scorecards and leaderboard).
Send to Golf Genius the local sign-ups that have not yet been sent.
Confirm the sync. When it finishes you will see how many registrants, tee times, results and sent sign-ups have been processed.
Each tournament shows its sync status (synced, with error or not synced) and the date of the last sync.
How players are matched
When importing registrants, tee times or results from Golf Genius, the system tries to match each player with a Golfmanager customer in this order:
By email (there must be a single match).
By federation license (license number), if no match was found by email.
By exact name, as a last resort.
During the sync, Golf Genius can also fill in the customer's profile with the golf license and the handicap (read-only fields).
Module screens
In the Golf Genius menu you have:
Tournaments: the linked Golf Genius events, with their sync status.
Rounds: the rounds of each tournament.
Registrations: the record of sign-ups managed with Golf Genius (customer, tournament and round).
Tee Resource Mapping (tee mapping) and Configuration.
Limitations to keep in mind
Golf Genius requires the player's first name, last name and email: without them, the player cannot be signed up.
Anonymous sign-ups are not allowed: the player must be identified (that is why the booking type uses "Search customer").
International mode is not available yet: the integration operates in British / Australian mode.
Tee mapping is required so that tee times are assigned to the correct resource.
Syncing is on demand: registrants, tee times and results are brought in when importing or syncing (there is no partial or automatic sync).
It depends on the Golf Genius service: if it is unavailable, these operations cannot be performed at that moment.
Frequently asked questions (FAQ)
The system says the application key (apiKey) is missing. What do I do?
The API key has not been configured. Go to Golf Genius > Configuration, enter the key Golf Genius provided you, and confirm it (Enter or click outside the field). Without it, no operation works.
When signing up, it says the customer's first name, last name or email is missing. Why?
Golf Genius requires each player's first name, last name and email. Complete those details in the customer's profile and try again.
It says anonymous sign-ups are not allowed. How do I fix it?
The booking has no associated customer. Make sure the tournament booking type has the Identification method set to Search customer, and identify the player when booking.
The player cannot book because it "requires a license". What is happening?
The booking type has Does it require a license? enabled and the player has no license in their profile. Add their federation license or, if the tournament does not require it, disable that checkbox in the booking type.
It says the player is already registered for this round. Why?
It is a duplicate sign-up: that player already appears in that round of the tournament. Check the Registrations before signing them up again.
When importing an event it says it has already been imported. What does that mean?
That event is already linked to a tournament in Golfmanager. Use the existing tournament and sync it instead of importing it again.
I cannot sync a tournament: it says it is not linked to Golf Genius. What is missing?
The tournament is not linked to a Golf Genius event. Import it first from Golf Genius to link it, and then you will be able to sync it.
The event no longer appears or cannot be found in Golf Genius. What happened?
The event may have been deleted or changed in Golf Genius after linking it. Check the event in Golf Genius; if it no longer exists, you will have to import the correct one again.
A connection error with Golf Genius appears. How do I check it?
Golf Genius did not respond or the connection failed. Check that the API key and the Environment are correct and try again later. If it persists, contact Golf Genius support.
What is the difference between the Test (Staging) and Production environments?
Test/Staging (ggstest.com) is used to validate the configuration and the flow without affecting real data; Production (golfgenius.com) operates for real. Test first in Staging and switch to Production before opening sign-ups.
What is tee mapping for and what happens if I don't configure it?
The tee mapping links each tee of a Golf Genius event with a Golfmanager resource. Without it, imported tee times cannot be assigned to the correct resource. Configure it for each event before syncing the tee times.
How does the system match a Golf Genius player with a Golfmanager customer?
It tries to match by email, then by federation license and, lastly, by exact name. In each case there must be a single match; if there is ambiguity, the player is not linked automatically.
What exactly is brought in when a tournament is synced?
You can bring in the event data, the registrants, the tee times and the results. You can also send to Golf Genius the sign-ups created in Golfmanager. You check what you want to sync before confirming.
Two players want to play together but only one competes. Is that possible?
Yes. In British / Australian mode both book the same tee time: the one who competes takes the tournament rate and the other the normal green fee rate. They play together, but only the first one gets a scorecard and is eligible for prizes.
Where do I see the sign-ups managed with Golf Genius?
In Golf Genius > Registrations, where the customer, the tournament and the round are listed. The linked tournaments and rounds are in Tournaments and Rounds.
Recommended best practices
Complete the players' details (first name, last name, email and license/handicap) before signing them up.
Use "Search customer" as the identification method in tournament booking types.
Configure the tee mapping of each event so that tee times land on the correct resource.
Test first in the test environment (Staging) before operating in Production.
Sync the tournament before and after the event to keep registrants, tee times and results up to date.
Review the Registrations for any duplicate or incomplete sign-up.
