What is this integration?
Swoop Golf is a platform that lets golfers book and order through WhatsApp or the Swoop app, with an AI Concierge that guides the conversation.
The Golfmanager integration connects Swoop to your club so that everything a golfer books or orders through Swoop is recorded in Golfmanager automatically.
Swoop manages the integration on its side. Your team does not need to build or maintain anything: you create an API user and key for Swoop in Golfmanager, and Swoop takes care of the setup, the menus and the support from there.
What problem does it solve?
Brings golfer ordering, delivery and an AI Concierge to your club without changing the way you work in Golfmanager.
Keeps every transaction in Golfmanager, so your reports, cash control and accounting stay in one place.
Eliminates manual entry of bookings and orders taken through WhatsApp or the app.
Requires no development or maintenance from your team.
Which systems does it connect and in which direction does the data flow?
The integration connects Golfmanager with Swoop Golf. Bookings and orders made by golfers through Swoop are sent to Golfmanager, where they are recorded like any other booking or sale.
Swoop works through an API user and key created in your Golfmanager account.
The connection is managed by Swoop, so there is nothing to install or maintain at the club.
Conversations can be started by Swoop (for example, a message sent to the golfer) or by the golfer themselves.
What information is shared?
Every booking and order a golfer makes through Swoop is registered in Golfmanager. This includes:
Bookings made by golfers through Swoop.
Orders made by golfers through Swoop, such as food and drink orders.
The menus shown to golfers in Swoop are set up and maintained by the Swoop team.
Prerequisites (before activating the integration)
An active Golfmanager account for your club.
A user with permission to create API users and keys in Golfmanager.
An agreement with Swoop Golf to activate the service at your club.
How to set it up (step by step)
Setup is quick: for most clubs, activating the service is little more than flipping a switch.
Step 1 — Create an API user and key for Swoop
Log in to Golfmanager with a user that has the required permissions.
Create a new API user for Swoop and generate its key.
Save the changes.
Step 2 — Share the credentials with Swoop
Send the API user and key to the Swoop team through the channel they indicate.
Step 3 — Swoop completes the setup
Swoop connects your club, sets up the menus and runs a short test.
Once everything is validated, the service is activated for your club.
💡 Rollout tip: agree the menus and opening hours you want to offer with Swoop before activation, so the service launches complete.
How to use it day to day
Golfers book or order through Swoop, using WhatsApp or the Swoop app.
The booking or order arrives in Golfmanager automatically.
Your team manages it in Golfmanager as usual: bookings in the booking sheet and orders in your sales.
You do not need to do anything extra in Swoop for the information to reach Golfmanager.
Robot and drone delivery
Swoop can also deliver orders to golfers on the course by robot or drone. This option has two requirements to keep in mind:
Payment: a robot or drone cannot take payment on delivery, so the order must be paid in advance.
Location: to deliver to a golfer on the course, Swoop needs their live position. WhatsApp does not share live location, so the golfer either uses the Swoop app or Swoop connects to the cart GPS system your club already uses.
Ask the Swoop team which options are available for your club.

Supported Golfmanager versions
The integration works with both Golfmanager V1 and Golfmanager V3. The experience for the golfer is the same on both versions, and Swoop handles the differences on its side.
Limitations to keep in mind
Swoop is a separate service provided by Swoop Golf: setup, menus and support are handled by the Swoop team.
Robot and drone deliveries require the order to be paid in advance.
Delivering to a golfer on the course requires their live location, through the Swoop app or the club's cart GPS system.
WhatsApp does not share live location.
Frequently asked questions
Do we need to build or maintain anything?
No. Swoop manages the integration. You only create an API user and key in Golfmanager.
Where do bookings and orders appear in Golfmanager?
Every booking and order a golfer makes through Swoop is recorded in Golfmanager, so you can manage it as usual.
How long does activation take?
Activation is quick. Once the API user and key are shared, Swoop completes the setup and runs a short test before going live.
Does it work on Golfmanager V1 and V3?
Yes, it works on both versions.
Who sets up the menus golfers see?
The Swoop team sets up and maintains the menus.
Who do I contact if something does not work?
Swoop provides support for the service. Contact the Swoop team first and they will coordinate with Golfmanager if needed.
Why does robot or drone delivery need to be paid in advance?
A robot or drone cannot take payment at the door, so the order has to be paid before it is dispatched.
How does Swoop know where the golfer is on the course?
Through the golfer's live position in the Swoop app, or through the cart GPS system your club already uses. WhatsApp does not share live location.
Recommended best practices
Create a dedicated API user for Swoop and do not reuse it for other integrations.
Review the menus with the Swoop team before going live.
Do a first test booking and order and check them in Golfmanager before announcing the service to golfers.
If you plan to offer robot or drone delivery, check payment and location requirements with Swoop in advance.
