Member Portal Settings and Member Access

Member Portal Settings comprises the settings for your Member Portals. Each portal's settings are unique and contain the portal's title and member authentication methods.

In this article, we will discuss how you can define the settings and manage the authentication methods for members.

Access and Editing Member Portal Settings:

When creating a new Member Portal, you can define the settings for your portal. You can also access and edit these settings anytime by following these directions:

  1. Go to Communications > Member Portals.

  2. Click the action dropdown for the portal you wish to edit and click "Settings" (as shown below).

  3. Make the changes to the title and member authentication method as necessary. Note: Each option is discussed in greater detail later in this article.

  4. Click "Save."

Title:

The title assigned to each portal must be unique. Since your members will not see the portal title, you can add key identities, such as dates, or any other language that explains what a particular portal may be used for.

Choosing an Authentication Method for Members:

Member Portals provide every member with a unique and personalized experience when visiting the site. Since members do not have Golf Shop accounts, we must authenticate them before they can access the site to see their personalized content. With Member Portals, you can authentic your members using one of the following options:

  • Unique Member Field

  • Clubessential Single Sign On (SSO) Link

  • Jonas Single Sign On (SSO) Link

We will discuss how to authenticate members and provide access to their personalized Member Portal experience.

Unique Member Fields:

Authenticating using a unique member field relies on the ability of the member to provide unique answers to one or more custom fields in the member profile. The user is authenticated when the provided answers match a member's value in the roster. Note: This method should be used as an alternative method for those that do not have SSO integration.

To set up authentication using unique member fields, follow these directions:

  1. Go to Communications > Member Portals.

  2. Click the action dropdown for the portal you wish to edit and click "Settings" (as shown below).

  3. Set the Authentication Method for members to "Member Field."

  4. Select the field(s) that members have to answer to authenticate. Note: As a best practice, use two unique fields for authentication to ensure members access their personalized page.

  5. Set the Golf Shop URL Name, which will be appended to the end of the complete website URL. For example, if you need to make a portal for your men's club, you can set the URL name to "BACCMensClub". Note: Each URL Name must be unique. If a name is not unique, you will be asked to change it.

  6. To complete the change, click "Save."

The following shows setting up member field authentication using the member number and last name.

After saving the portal, navigate back to Settings and copy the Member Portal Website URL (as shown below). You can add this URL to your club's website, communication, and more so your members can access the portal.

Clubessentials SSO Link (Integration):

SSO (Single Sign-On) is an integration feature used with Clubessentials to log members into our system once they log into the club's website. This allows them to easily access Member Portals using an SSO Link from the club's website.

To use Clubessentials SSO to authenticate users in Member Portals, members must have their Clubessentails ID number (CE ID) as a custom field in the member roster profile.

There are multiple ways to populate the CE ID in their profile:

  • TM Sync: If you use Golf Genius TM with Clubessentials SSO integration or have players CE ID in the TM Master Roaster, the CE ID can be imported with TM Sync.

  • Spreadsheet Upload: If you are not a TM customer, then your member CE IDs need to be uploaded via spreadsheet. Please reach out to support for assistance with this process.

  • Manual Member Profile Update: Manually update a member's profile. For more details about change members information, Click Here.

You can set up authentication using Clubessential SSO by following these directions:

  1. Go to Communications > Member Portals.

  2. Click the action dropdown for the portal you wish to edit and click "Settings."

  3. Set the Authentication Method for members to "Clubessential Integration."

  4. Select the "Member Authentication Field." This should be your Clubessential Member ID number field. Most commonly, this field is "ce id."

  5. Enter your clubs website URL.

  6. Complete the change by clicking "Save."

After saving the page, navigate back to Settings and copy the Member Portal Website URL (as shown below). Provide this link to the Clubessentials Customer Success Team to enter into your club's website and complete the integration.

Jonas SSO Link (Integration):

SSO (Single Sign-On) is an integration feature used with Jonas to log members into our system once they log into their club's website. This allows them to easily access Member Portals using an SSO Link from their club's website.

To use Jonas SSO to authenticate users in Member Portals, members must have their Jonas User ID number as a custom field in the member roster profile.

There are multiple ways to populate the Jonas User ID in their profile:

  • TM Sync: If you use Golf Genius TM with Jonas SSO integration or have a players ID in the TM Master Roaster, the ID can be imported with TM Sync.

  • Spreadsheet Upload: If you are not a TM customer, then your member Jonas User ID needs to be uploaded via spreadsheet. Please reach out to support for assistance with this process.
