Transitioning Rentals for Upcoming Season

When managing your rentals with Golf Genius Golf Shop and transitioning to a new season, like many other courses, you are sending inventory back to the manufacturer to make room for the new rental inventory.

In this article, we will discuss the necessary steps and best practices that will help you make this transition smoothly into the next season during this process.

Note: Please read through this entire article before starting this process. It is good practice to download and backup the existing inventory since part of the process is to delete the existing inventory.

Clean-up Rental Dashboard:

When preparing your rentals for the upcoming season, cleaning up your rental dashboard is one of the first steps you will need to take. This means finalizing rentals that have been returned but are still showing on the dashboard.

Note: If this step is not taken, a rental that needs to be removed from inventory will still show as an outstanding rental. Therefore, the club will not be removed from inventory.

To clean up your rental dashboard, do the following:

  1. Go to Services > Rentals > Dashboard.

  2. Find rentals that should be marked as returned.

  3. Click the action dropdown, and click "Mark as Returned."

  4. Make adjustments to the notification settings (if necessary).

  5. Click "Save."

  6. Repeat steps 2-5 as needed.

Download and Backup Existing Rental Inventory:

Once you have finalized the necessary rentals on the dashboard, you will want to download your existing inventory as a backup. Further, you can make a copy of this backup to prepare your new inventory to be uploaded later.

To download the existing rental inventory, follow these instructions:

  1. Go to Services > Rentals > Inventory.

  2. Click "Download Spreadsheet."

  3. Click "Download XLS."

  4. Click "Back" to return the inventory.

Note: Make a backup copy of the downloaded inventory spreadsheet as the downloaded copy can be used to upload the new inventory.

Delete the Existing Rental Inventory:

If you are using Rental Labels and you delete the entire inventory, all current labels will no longer be scannable.

The process of deleting the existing rental inventory is simple. To do so, follow these instructions:

  1. Go to Services > Rentals > Inventory > Delete All.

  2. Click "Ok" to delete your current inventory.

While your inventory will be deleted, the rental details from the deleted inventory will still be stored in your past rentals. Further, any outstanding rentals will not be deleted from inventory.

Preparing and Uploading the Spreadsheet:

After downloading the existing inventory, you can use that spreadsheet to compile the upcoming season's inventory. To prepare your spreadsheet, follow these steps:

  1. Open the downloaded spreadsheet from your computer.

    1. Ensure you have created a duplicate of this file as a backup.

  2. Compile the spreadsheet for your upcoming season's inventory. A few notes when compiling the spreadsheet.

    1. Important: Un-hide column A and delete it.

    2. Remove all rentals that will not be part of the new inventory.

    3. Remove rentals from your spreadsheet that are still checked out on the Rental Dashboard (Services > Rentals > Dashboard). To avoid creating duplicates, you need to remove these rentals from the spreadsheet.

    4. Add all new inventory to the spreadsheet.

  3. Save the file.

  4. In Golf Genius Golf Shop, go to Services > Rentals > Inventory.

  5. Click "Choose File" and select the spreadsheet from your computer.

  6. Click "Import Spreadsheet."

  7. Match your columns with our system attributes. Some (or all) columns will automatically be matched.

  8. Click "Import Spreadsheet."
