Pro and Basic Plan users have the ability to send invoices by SMS as long as they have the SMS Text Messaging addon enabled. Click here to learn more.
Note: At this time, Statements cannot be sent by SMS.
Customize your Invoice Template
If you'd like to change the verbiage of your message, you can customize your outgoing SMS invoice template under Settings > Email & SMS Templates > System > Invoice.
The SMS variables will automatically pull data into your SMS message. For example, [::client_first_name::] will autofill with the customer's name and [::company_name::] will automatically add your company name into your message.
Click Insert SMS Variable to add in different variables and personalize your message even further.
The [::online_payment_link::] SMS variable will allow your customers to pay their invoice online, directly from their SMS message.
Note: If you have SMS Text Messaging enabled, the online payment link will automatically be added to late payment reminders as well.
You can remove the message from the SMS box in Settings > Email & SMS > Late Payment Reminders if you don't want it to send by SMS.
Sending an Invoice by SMS
When you open an invoice on the desktop, you will see the option to Send by SMS, Send by Email & SMS, and SMS for e-Sig (if you are a Pro Plan user).
At this time, invoices can only be sent by SMS from the desktop version of GorillaDesk. They cannot be sent by SMS from the mobile app.
Your customer will receive an SMS message like the one below, with the ability to view the invoice, along with the online payment link.
Clicking on the payment link will redirect them to the payment page.
SMS Per Credit Charge Notice:
SMS credits are based on message segments.
Plain text uses up to 160 characters per credit.
Emojis, special characters, and personalized fields may reduce the character limit and increase credits used.
For example, using a single emoji reduces the limit to 70 characters per credit.
When an SMS contains Emojis, Accented characters, or Special characters, the system switches to Unicode encoding. This drastically reduces the character limit per segment, resulting in higher credit charges.
Triggers & Examples:
Emojis:
😀,🚀,🔥(Note: Complex emojis like the family icon👨👩👧👦can use up to 8 Unicode characters alone).Accented Characters: Vietnamese tones or letters not in the standard Latin alphabet (e.g.,
á,ạ,ồ,ử,ệ,đ).Special Characters / Smart Punctuation (often from Copy-Paste): Smart quotes (
""instead of", or‘’instead of'), long dashes (—), and ellipses (…).
Character Limit & Segment Rules:
Plain Text (GSM-7): The 1st segment holds up to 160 characters. From the 2nd segment onwards, it drops to 153 characters/segment. (Example: 161 plain characters = 2 segments).
Unicode Text (With Emojis/Accents/Special Chars): The 1st segment holds up to 70 characters. From the 2nd segment onwards, it drops to 67 characters/segment. (Example: 71 characters containing a single emoji = 2 segments).
