Add Users and Control Permissions

The next step in your account setup will be creating user accounts for your staff. To create a new user, navigate to 'Settings' and then select 'Users'.


​In GorillaDesk there are two user roles:

  • Admin

  • Technician

To change a user's role, you must be logged into the primary user account.

Each user then has their permissions set within that role. The following images serve to show you the current permissions you can control for each user.

By default, the Tech role is limited to only accessing the customers and jobs assigned to them. This role also cannot permanently delete items from your system.

Mobile

  • Search customer profile - Shows/hides the search bar for searching customer

  • Add Customer - Grants/restricts the user's ability to add a new customer.

  • Edit Customers - Grants/restricts the user's ability to edit customer details in the mobile app.

  • Add Jobs - Grants/restricts the user's ability to add new jobs in the mobile app.

  • Edit Existing Jobs - Grants/restricts the user's ability to edit existing jobs in the mobile app.

  • Delete Jobs - Grants/restricts the user's ability to delete any job in the mobile app.

  • Move All Recurring - Grants/restricts the user's ability to move all recurring jobs in the mobile app. They can move jobs but it will not affect future recurring jobs.

  • Stripe / Square Card - If disabled, your technician will be unable to view the Stripe and Square card details in the customer's profile or associated with their job. They will not have access to information regarding any credit card on file, nor will they be able to add or remove cards. Furthermore, they will be unable to process payments using credit cards.

  • Weather Card - Displays/hides the weather card in the job details.

    If disabled, they will be unable to record any weather information.

  • Invoice Card - Shows/hides the invoice card in the customer profile and job details. If hidden, your technician cannot see, add or send any invoice.

  • Contact Information - Shows/hides the customer's contact information in the customer profile and job details. If disabled, the phone number and email will be hidden.

  • WO Options - Shows/hides the work order option such as editing, adding signature, and sending work orders. If disabled, they will not be able to add notes, signature and send workorder.

  • Document Card - Shows/hides the document card in the customer profile or job details. If hidden, your technician cannot see, add or send any documents.

Desktop & Mobile

  • SMS Filter by Users - Filters the SMS notifications from customers assigned to the user

  • Edit or Delete Notes - Grants/restricts the user's ability to edit and delete notes in the customer notes or job notes

  • Edit or Delete Comments - Grants/restricts the user's ability to edit and delete comments in customer notes or job notes.

  • Edit or Delete Top Notes - Grants/restricts user permissions to edit and delete top notes in customer profiles or job details.

  • Edit or Delete Tasks - Grants/restricts the user's ability to edit and delete tasks.

  • Edit Check In/Out Time - Grants/restricts the user's ability to modify the check-in and check-out time.

  • Sales Commission - Shows/hides the 'Sold by' field in the job scheduling

  • Manage Todo Templates - Grants/restricts the user's ability to edit or delete any of the to-do templates.

  • Manage Note Template - Grants/restricts the user's ability to edit or delete any of the note templates.

  • Show Work Pool - Shows/hides the work pool from the user's calendar

  • Edit or Delete Time Offs - Grants/restricts the user's ability to edit or delete time-offs on the calendar.

  • Edit or Delete Events - Grants/restricts the user's ability to edit or delete custom events on the calendar

  • INBOX: EMAIL INBOX - Grants/restricts user permissions to send emails in the customer profile and displays/hides the Email Inbox

  • Add Time Off - Enables/forbids the user from adding a new time off on the calendar

  • Add Custom Event - Enables/forbids the user from adding a custom event to the calendar

  • Dashboard - Displays/hides the Dashboard tab for the user

Notifications

  • E-Signed Document - Notification related to signed estimate

  • E-Signed Estimate - Notification related to signed estimate

  • E-Signed Invoice - Notification related to signed invoices

  • Job Confirmation- Notification related to customer's confirming the appointment

  • Job Reschedule - Notification related to reschedule request, action is required to call, email or text your customer for a new schedule

  • Online Payments - Notification related to payments made using the online payment links

  • Reviews - Notification related to reviews left by the customer

  • Subscription - Notification related to failed subscription due to declined cards, action is required to get a new card information.

  • Online Booking - Notification related to booking made from the customer portal, action is required to confirm the booking.

Whereas, admin users will have the ability to view the schedules for all technicians. This role is typically more focused on scheduling and invoicing.


​Access

  • Export Customer List - Grants/limits the user's ability to export the customer list. If Disabled, the export button will be hidden

  • Edit or Delete Notes - Grants/restricts the user's ability to edit and delete notes in the customer notes or job notes. If disabled, they will have the ability to add, but they cannot edit nor delete notes

  • Edit or Delete Comments - Grants/restricts the user's ability to edit and delete comments in customer notes or job notes. If disabled, they will have the ability to add, but they cannot edit nor delete comments

  • Edit or Delete Top Notes - Grants/restricts user permissions to edit and delete top notes in customer profiles or job details. If disabled, they will have the ability to add, but they cannot edit nor delete top note

  • Edit or Delete Tasks - Grants/restricts the user's ability to edit and delete tasks. If disabled, they will have the ability to add, but they cannot edit nor delete task

  • Edit Check In / Out Time - Grants/restricts the user's ability to modify the check-in and check-out time. If disabled, they will have the ability to add, but they cannot edit nor delete check in and out time. This permission is granted to admin, who needs permission to modify anyone's check in and out time for auditing.

  • Sales Commission - Shows/hides the Sold by field in the job scheduling. This permission is granted to anyone who is allowed to assign a SOLD BY commission

  • Manage Todo Templates - Grants/restricts the user's ability to edit or delete any of the to-do templates. If disabled, they can access ToDo templates but they cannot add or edit to existing templates

  • Manage Notes Templates - Grants/restricts the user's ability to edit or delete any of the note templates. If disabled, they can access notes templates but they cannot add or edit to existing templates

  • Show Work Pool - Shows/hides the work pool from the user's calendar. If hidden, the user will not be able to see the workpool, the user cannot move jobs to the workpool

  • Search Customer Profiles - Shows/hides the search bar for searching customer

  • Add Customer - Grants/restricts the user's ability to add a new customer.

  • Edit Customers - Grants/restricts the user's ability to edit customer details

  • Add Jobs - Grants/restricts the user's ability to add new jobs to the calendar

  • Edit Existing Jobs - Grants/restricts the user's ability to edit existing jobs

  • Delete Jobs - Grants/restricts the user's ability to delete any job

  • Move All Recurring - Grants/restricts the user's ability to move all recurring jobs. They can still move the current job but it will not affect the recurring job.

  • Edit or Delete Events - Grants/restricts the user's ability to edit or delete custom events on the calendar. If disabled, they can access add an event but they cannot edit or delete an existing time off.

  • INBOX: EMAIL INBOX - Grants/restricts user permissions to send emails in the customer profile and displays/hides the Email Inbox. If disabled, they will not have the option to send an email using the email inbox, nor see any of the email exchanged using the email inbox feature

  • Dashboard - Displays/hides the Dashboard tab for the user

  • Manage Branch - Grants/restricts the user from accessing the Manage Branches settings

Notifications

  • Online Payments - Notification related to payments made using the online payment links

  • E-Signed Document - Notification related to signed estimate

  • E-Signed Estimate - Notification related to signed estimate

  • E-Signed Invoice - Notification related to signed invoices

  • Job Confirmation- Notification related to customer's confirming the appointment

  • Job Reschedule - Notification related to reschedule request, action is required to call, email or text your customer for a new schedule

  • Inbound Leads - Notification related to incoming inbound leads from Zapier or Customer portal 'Contact Us' page
