Automatically notify people that you won't be able to get back to them right away.

Grayscale's Auto-responder feature gives you peace of mind when you're out of office 🌴 or your work day has ended πŸ• .

When you set your availability to Away, the auto-responder will reply to candidates on your behalf.

Want to set your first away message? Here's how:

  1. Navigate to Settings in Grayscale
    ​

  2. Click on Availability & Auto-responder Status
    ​

  3. In the status drop-down menu, select Away
    ​

  4. Craft your away message, keeping it under 160 characters. As a best practice, it's great to give details on when you expect to be back
    ​

  5. Once you click Set Auto-responder, Grayscale will confirm that your Auto response is set

  6. That's it! Your account will now have Away under your name in Grayscale in the top right to indicate that your auto response is on

Your auto-response will only go out to candidates that you're following, in conversations where you were the last outgoing sender, and it will be only be sent to the candidate at most once every 10 minutes -- even if they continually respond to the conversation.


Applying your Auto-Responder to Calls

To apply your away message to calls:

  1. Navigate to Settings in Grayscale
    ​

  2. Click on Availability & Auto-responder Status
    ​

  3. In the status drop-down menu, select Away
    ​

  4. Craft your away message, keeping it under 160 characters. As a best practice, it's great to give details on when you expect to be back
    ​

  5. If you have Call Forwarding enabled, you can apply your auto-responder to any incoming calls you get by ensuring the Apply auto-responder to calls box is checked


    ​

  6. Once you click Set Auto-responder, Grayscale will confirm that your Auto response is set

  7. That's it! Your account will now have Away under your name in Grayscale in the top right to indicate that your auto response is on


To turn your Auto-responder off manually:

  1. Navigate to Settings in Grayscale

  2. Click on Availability & Auto-responder Status

  3. Click Clear – Set online

    1. Once you're Set online, Grayscale will confirm that you are no longer away

Your auto-responder will automatically be disabled when you start texting candidates again.


Sneak-Peek: Call forwarding with your away message!

When applying your away message to your inbound calls, candidates will hear a text-to-speech response if they attempt to call you while you're away πŸŽ‰

For example, my recruiter, Lydia, has set herself to Away in Grayscale with the following out of office message:

  • Hey there! Thanks for reaching out. I'm currently out of office and will return on Monday. I look forward to touching base then!
