Learn how organizations, members, roles, groups, invitations, and permissions work in Green Business Benchmark°.

Green Business Benchmark° is structured around organizations, members, roles, and groups. Understanding how these pieces work together helps admins set up the platform clearly, assign the right permissions, and manage sustainability activity at the right level.

  • Which locations, departments, facilities, or business units should be represented as groups

  • Whether users should be invited only to the organization or also pre-assigned to groups

  • Your subscription plan’s member and group limits


Organizations

What is an organization?

An organization is the primary account unit in Green Business Benchmark°.

All groups, members, billing, and data belong to an organization. A user can belong to multiple organizations, and their role can be different in each one.

How many organizations can I belong to?

You can belong to up to 10 organizations by default.

What information does an organization have?

An organization can include:

  • Display name

  • Unique URL slug

  • Optional description

  • Industry

  • Phone number

  • Website

  • Address

  • Logo, either uploaded manually or auto-generated from initials

Can an organization be deleted?

Yes. Only the organization owner can delete an organization.

Organization deletion is managed from the danger zone in organization settings.

Important: Deleting an organization is a significant action. Confirm the deletion behavior and data impact with your organization members before proceeding.


Organization roles

What roles exist within an organization?

Organization roles determine what a member can do at the organization level.

Full control, including organization deletion and billing management

Can I have different roles in different organizations?

Yes. Your role is assigned per organization. For example, you may be an admin in one organization and a member in another.


Members and invitations

How do I invite someone to my organization?

Organization admins and owners can invite users from the Members page.

When sending an invitation, you can:

  • Enter the person’s email address

  • Assign an organization role

  • Optionally pre-assign the invitee to one or more groups

What happens when someone accepts an invitation?

If the person already has an account, they are added to the organization with the assigned role.

If they do not have an account, they can register through the invitation link. Their account is created and they join the organization in one step.

Do pending invitations count toward my member limit?

Yes. Pending invitations count toward your plan’s maximum member limit.

How long do invitations stay valid?

Invitations expire after 14 days. An organization admin can also revoke an invitation before it is accepted.

Can I change a member’s role?

Yes. Organization admins and owners can change member roles, with some restrictions:

  • Organization admins and owners can change roles for organization members

  • Only owners can promote someone to organization admin

  • The last owner cannot be demoted

  • Every organization must always have at least one owner

How do I remove a member?

Organization admins and owners can remove members from the Members page.

When a member is removed from the organization, they are also removed from all groups within that organization.

Members can also leave an organization voluntarily.


Groups

What is a group?

Groups are sub-units within an organization.

A group can represent a:

  • Location

  • Department

  • Facility

  • Business unit

  • Other organizational unit

Sustainability features such as initiatives, milestones, certification, and scoring are tracked at the group level.

Can groups be nested inside other groups?

No. Groups are flat. There is no group hierarchy or nesting.

How many groups can my organization have?

Standard, Premium and Enterprise plans include a base number of (1) one group in the subscription.

Organizations can purchase additional groups up to the maximum allowed by their plan. Standard and Premium plans allow up to 50 groups through self-service. Enterprise plans do not have a maximum group limit.

What information does a group have?

A group can include:

  • Name

  • URL slug

  • Optional description

  • Physical address

  • Same-as-organization address option

  • Logo, either uploaded manually or auto-generated

  • Building ownership type

What roles exist within a group?

Group roles determine what a member can do within a specific group.

Do organization admins and owners automatically have access to all groups?

Yes. Organization admins and owners have full access to all groups without needing to be explicitly added as group members.

They can manage settings and members in any group. However, they will not appear in the group member list unless they are added manually.

How do I add someone to a group?

Organization admins, organization owners, and group admins can add existing organization members to a group with a specified group role.

You can also invite a new non-member directly as a group admin. They will receive an organization invitation and will be assigned as group admin after accepting.

Can a member leave a group without leaving the organization?

Yes. Leaving a group only removes the person from that group. Their organization membership remains active.


Onboarding

What happens when I create a new organization?

When you create a new organization, you’ll move through a short onboarding wizard.

The wizard guides you through:

  1. Organization details, including name, industry, and address

  2. Plan selection and payment

  3. First group creation

Once onboarding is complete, the wizard will not appear again.


Organization switcher

How do I switch between organizations?

If you belong to more than one organization, you can use the organization switcher in the app. Your active organization is saved and persists across sessions.


Permissions summary

What can organization admins do that regular members can’t?

Organization admins can:

  • Manage organization settings

  • Invite members

  • Remove members

  • Change member roles up to admin

  • Create groups

  • Manage groups

Owners can also:

  • Delete the organization

  • Manage billing

  • Promote members to owner

What can group admins do?

Group admins can:

  • Manage group settings

  • Add group members

  • Remove group members

  • Change group member roles

Organization admins and owners can also perform these group-level actions without being added as group members.
