Create and distribute vouchers

Create and distribute voucher codes to club members.

To reward their members, club volunteers can create vouchers from their Club space. Vouchers created this way are valid in the club shop.

They can be funded:

  • By the club's cashback fund.

  • By card payment.

  • By bank transfer (SEPA).

Note: payment validation time depends on the method chosen. A card payment is validated immediately. A bank transfer (SEPA) takes about 10 days to be confirmed (see the FAQ below).

Create vouchers

To create vouchers, the volunteer must:

  1. Log in to their Club space.

  2. In the left-hand menu, click Vouchers.

  3. Click Create vouchers.

  4. In the Bundle name field, enter the name of the commercial campaign linked to the vouchers, for example "Back to school".

  5. In the Occasion field, select the reason for creating the vouchers.

  6. In the Value per voucher field, enter the value that will be assigned to all vouchers in the bundle. Every voucher in the bundle will have the same value.

  7. In the Quantity field, enter the number of vouchers to create in the bundle. The bundle's total value will be the number of vouchers multiplied by their unit value.

  8. Click Pay, then select the payment method.

Important: to pay with the cashback fund, the bundle's total value must be less than or equal to the fund's available balance. If it isn't, the Cashback fund option won't appear (see the FAQ below).

Distribute vouchers

By default, vouchers aren't personalised. They're a series of numbers and letters and can be used by any member who has access to a code.

To make vouchers personal, volunteers can assign them to members. Members will then receive an email containing their voucher and inviting them to use it in the club shop.

To assign a voucher to a member:

  1. Go to the Vouchers tab.

  2. Click the name of the bundle you're interested in.

  3. For each code, click Unassigned and enter the first name, last name, and email address of the member the voucher will be assigned to.

  4. Repeat for every voucher in the bundle.

Refund never-used vouchers

Bought too many vouchers, or never handed them out? The volunteer can refund a bundle's never-used codes themselves from their Club space, without going through you or support.

  1. In the left-hand menu, click Vouchers.

  2. Click the name of the bundle.

  3. Click Refund never-used codes.

  4. Check the number of codes and the amount shown, then confirm by clicking Refund … codes.

Refunded codes get the Refunded status and can no longer be used. The refund goes to the payment method used to buy the bundle:

  • Club's cashback fund — credited straight back to the cashback fund.

  • Card payment or bank transfer (SEPA) — refunded to the original payment method within 5 to 10 business days.

Important: the refund can't be undone and applies to every never-used code in the bundle, including codes already assigned to a member. Partly used codes can't be refunded: they stay valid for their remaining amount.

Note: refunds from the Club space are available for bundles paid less than 6 months ago. For an older bundle, the volunteer reaches out to their sales representative, who contacts the Grinta team via chat to request the refund.

FAQ

Do vouchers expire?

No. Vouchers never expire — they're valid for life in the club shop.

Note: if the recipient hasn't used their voucher yet, they receive a reminder email 50 days after it was created.

Can the same voucher be used more than once?

Yes, until its full value is spent. For example, a €30 voucher can be used to pay for 3 orders of €10 each.

Which products can vouchers be used on?

On all products visible in the club shop.

Do orders paid with vouchers still generate cashback for the club?

Yes. Orders paid fully or partly with vouchers also generate cashback, which is paid into the club's cashback fund. Generosity pays off.

Can never-used vouchers be cancelled?

Yes. Never-used vouchers from a bundle paid less than 6 months ago can be refunded directly from the Club space (see the Refund never-used vouchers section). The amount is credited back to the payment method used to fund the bundle.

A voucher that's already been partly used, however, can't be refunded: it stays valid in the shop for its remaining amount.

Is there a deadline to request a refund on a voucher?

Yes, it depends on when the bundle was paid:

  • Less than 6 months ago — the volunteer starts the refund from their Club space.

  • More than 6 months ago — the volunteer reaches out to their sales representative, who contacts the Grinta team via chat to request the refund.

How long does it take for a payment to be validated?

It depends on the payment method used to fund the vouchers:

  • Card payment — the payment is validated immediately.

  • Bank transfer (SEPA) — the payment is validated within about 10 days.

This delay is due to how SEPA direct debit works: the amount is debited from the club's account within 1 to 2 days, but the club's bank then has a regulatory window during which it can still reject the debit (insufficient funds, dispute, error, etc.).

Note: during this time, the order may show a payment pending status. This is normal — no action is needed on your part.

Why doesn't the cashback fund option appear at checkout?

The cashback fund can only pay for a voucher bundle if it covers the bundle's full value. You can't pay part of a bundle with the cashback fund and the rest by card or SEPA transfer.

The solution is to split the vouchers into two bundles:

  • A first bundle whose value doesn't exceed the available balance, paid with the cashback fund

  • A second bundle for the rest, paid by card or SEPA transfer

Example: the club wants to create 5 vouchers of €10 and has €30 in its cashback fund. It creates a first bundle of 3 €10 vouchers paid with the cashback fund, then a second bundle of 2 €10 vouchers paid by card.

Note: only the available balance counts. Amounts that are "pending validation" can't be used yet.

How does billing work for vouchers?

Transaction fees only apply when the recipient uses their voucher, and only for vouchers funded by the club. Endowment vouchers and kit codes aren't affected.

Example: for a €100 order paid with €50 in vouchers and €50 by card, the transaction fee (x%) applies to both parts. You therefore receive €100 minus the total transaction fees.
