Late Cancellation and No Show Fees

Overview
Studios can now automatically charge students a fee when they cancel late or fail to attend a drop-in class. This provides more flexibility in enforcing attendance policies while keeping things fair and transparent.


How to Set Up Fees

  1. Go to Admin Settings > Cancellation Settings.

  2. Enable or disable the following fee types:

    • Late Cancellation Fee

    • No Show Fee

    • Late Cancel + No Show Fee

  3. Enter the fee amount for each type.

  4. Click Save to apply your changes.

šŸ’” You can update these settings at any time, and leave any fee type disabled if not in use.


How to Apply a Fee When Taking Attendance

When marking attendance for a drop-in class:

  1. Go to the class attendance list.

  2. Use the dropdown next to the student’s name to select:

    • No Show + Fee

    • Or simply No Show (if you don’t want to charge a fee)

  3. The system will automatically charge the relevant amount.

  4. You can also override or adjust the amount before confirming.

āœ… A label will appear next to the student’s name in the attendance list showing that the fee has been charged, so you always have a clear view.


šŸ’³ When Are Students Charged?

  • If a student cancels their booking within the late cancellation window, they will only be able to complete the cancellation by paying the fee.

  • This means that any late cancellation automatically includes payment, and you’ll see that reflected in the attendance list.

  • Fees charged manually (via attendance) are also processed immediately.

  • Drop-in classes only: These settings do not apply to term-based classes.

  • Manual or student-triggered: Fees may be applied either by the studio when marking attendance or by the student when cancelling late.

  • Transparent tracking: All fee activity is visible directly on the class attendance screen.
