The Task List View gives you a detailed overview of every task in your GSMtasks account. While the Dashboard is designed for live dispatching and map monitoring, the Task List View is ideal for managing large numbers of tasks, searching for specific jobs, applying filters, exporting data, and customizing the information displayed.

Whether you're reviewing completed deliveries, planning upcoming work, or searching for a specific customer, the Task List View provides the tools you need to manage your operations efficiently.


Accessing the Task List

To open the Task List, click Tasks from the top navigation bar.

From here you can:

  • View all tasks

  • Create new tasks

  • Search for specific tasks

  • Apply filters

  • Sort your task list

  • Customize visible columns

  • Import tasks

  • Export tasks

The Task List is particularly useful when working with a large number of tasks, as it allows you to quickly find and organize the information you need.

Filters allow you to display only the tasks relevant to your current work.

Instead of scrolling through your entire task list, you can narrow the results using one or multiple filters.

To apply a filter:

  1. Click Filter.

  2. Select + Add Filter.

  3. Choose the filter you'd like to use.

  4. Select the required value.

You can filter tasks using many different criteria, including:

  • Status

  • Assignee

  • Created Date

  • Complete Before

  • Complete After

  • Company

  • Category

  • Reference

  • Custom Fields

You can also combine multiple filters to create more specific task views.

Example

To view completed deliveries for a specific customer during the current week, you could apply:

  • Status = Completed

  • Company = ABC Logistics

  • Created = This Week

Filtering by Companies & Custom Fields

If your business manages multiple customers or uses Custom Fields, you can filter tasks even further.

Company

Select Company as your filter and choose the customer whose tasks you'd like to display.

This is especially useful for businesses managing work for multiple clients.

Custom Fields

Custom Fields (also known as Metafields) allow you to organize and filter tasks using information specific to your workflow.

For example, you could filter by:

  • Delivery Zone

  • Route Number

  • Customer Type

  • Technician

  • Vehicle Type

  • Internal Department

The available Custom Fields depend on those configured by your organization.

The Task List can be customized to display only the information most relevant to your daily work.

Click Manage Columns to configure your view.

From here you can:

  • Show or hide columns

  • Reorder columns

  • Resize columns

This allows every dispatcher to personalize the Task List based on their responsibilities.

Showing & Hiding Columns

Tick or untick the columns you'd like to display.

Click Save to apply your changes.

Reordering Columns

Open the Reorder Columns tab.

Drag and drop columns into your preferred order.

Resizing Columns

Hover between two column headers until the resize cursor appears, then drag left or right.

💡 Tip: Display only the columns you regularly use to keep your Task List clean and easy to navigate.

Sorting helps you organize your Task List using the information most relevant to you.

Select a sorting field from the top-right corner of the Task List.

Available options include:

  • Updated At

  • Created At

  • Completed At

  • Complete Before

  • Cancelled At

Use the arrow beside the selected field to switch between Ascending and Descending order.

For example, sorting by Updated At in descending order displays the most recently updated tasks first.


Saving Default Filters

If you regularly use the same filters, you can save them as your default Task List view.

After applying your preferred filters, click Save as Default.

The next time you open the Task List, those filters will already be applied.

To remove all active filters, click Reset Filters.

💡 Tip: Default filters are particularly useful when different dispatchers manage different regions, customers, or departments.

The search bar allows you to quickly locate tasks without manually browsing through the Task List.

Simply enter a keyword into the search field.

Depending on your task information, you may be able to search using:

  • Customer name

  • Address

  • Reference

  • Company

  • Other task information

Search results appear instantly, making it much faster to locate specific jobs.


Importing & Exporting Tasks

The Task List also allows you to quickly import or export task data.

Import

Use Import to upload multiple tasks into GSMtasks instead of creating them individually.

This is ideal for importing delivery schedules, service appointments, or migrating existing data.

Export

Use Export to download your tasks for reporting, analysis, or backup purposes.

Any active filters will also apply to the exported data.


Creating a New Task

To manually create a task, click + New Task.

Complete the task information, assign it to a worker, and click Create.

Once created, the task will immediately appear in the Task List and, if assigned, will be sent to the selected worker.

Frequently Asked Questions

Why can't I find a task?

Use the Search bar or apply filters to narrow down your results. You can also check whether the task falls outside your current filter criteria.

Why are some columns missing?

Open Manage Columns and ensure the required columns are enabled.

Can I export only filtered tasks?

Yes. Any filters currently applied to the Task List will also apply to the exported data.

Can I combine multiple filters?

Yes. GSMtasks allows you to combine multiple filters to create highly specific task views.
