📦 How to Create a Task

Task creation, worker assignment, waypoints, scheduling, custom fields

Tasks are the core of GSMtasks. Whether you're managing deliveries, service visits, installations, or collections, every job begins with creating a task.

This guide explains how to create a task, what each section of the task form does, and how to make the most of the available options.


By the end of this guide, you'll know how to:

Creating your first task

There are two ways to create a task:

Option 1 — New Task button

Click the green New Task button in the upper-right corner of the Dashboard.

Option 2 — From the map

Right-click anywhere on the map and select Create Task.

Fill in the task information and click Create.

⚠️ Important

Every task must contain at least one valid address before it can be created.


Understanding the task form

The task creation form is divided into five sections, each serving a different purpose.

1. Order Information

This section contains the general information about the order and your customer.

Customer information

Here you can enter your customer's details, particularly if:

  • the customer is not located at the delivery or service address

  • the order contains multiple waypoints

  • you'd like to keep customer records for future orders

Saving customer information allows GSMtasks to automatically fill in these details the next time the same customer places an order.

💡 Tip: If you regularly work with the same customers, saving their contact information can significantly speed up task creation.

Importing contacts

Instead of creating contacts one by one, you can import them into GSMtasks.

Client accounts

You can also create Client Roles for your customers.

Client users can:

  • View their own tasks

  • Create new tasks

  • Track task progress (depending on permissions)


2. Assigning a Worker

You can assign a task to a worker immediately or later.

Assign while creating the task

Simply choose a worker from the Assignee dropdown.

If the worker is online, they'll receive the task instantly in the GSMtasks Driver App.

Assign later

If no worker is selected, the task will automatically appear in the Unassigned column.

From there you can:

  • Drag and drop the task onto a worker

  • Right-click the task and choose Move Tasks

  • Select another worker at any time

Auto Assign

If you've configured Auto Assign, simply tick the Auto Assign checkbox.

GSMtasks will automatically assign the task based on your Auto Assign rules.

💡 Best practice

If you already know who will complete the task, assign the worker during task creation. This reduces manual work later and allows the worker to receive the task immediately.


3. Waypoints

Waypoints are one of GSMtasks' most powerful features.

A waypoint represents a location that forms part of an order.

An order can contain one or multiple waypoints, allowing you to manage more complex workflows while keeping everything linked together.

For example:

  • Pick up goods from a warehouse

  • Deliver them to a customer

Although these belong to the same order, they appear as two separate tasks for the worker.

Waypoint types

Assignment

Use an Assignment waypoint when the worker only needs to visit one location.

Example:

A technician visiting a customer.

Pick Up

Use Pick Up when the worker first needs to collect goods, equipment, or materials.

Example:

Collect parcels from the warehouse.

Drop Off

Use Drop Off for the final destination where goods or services are delivered.

Example:

Deliver parcels to the customer.

Adding multiple waypoints

Need multiple stops?

Simply complete the first waypoint and click Add New Waypoint.

Each additional waypoint becomes part of the same order while remaining an individual task for the assigned worker.

Waypoint contact information

Every waypoint has its own contact information.

This is useful when different people are responsible at different locations.

For example:

Warehouse contact → Pick Up

Customer contact → Drop Off

Tick Save Contact if you'd like GSMtasks to remember the contact for future orders.

Scheduling waypoints

Each waypoint can have its own completion window.

Use: Complete After and Complete Before

to specify when work should begin or finish.

These time windows are also considered during Route Optimization, helping GSMtasks build the most efficient route while respecting customer time constraints.

Task duration

You can specify how long a task is expected to take.

Task duration is included during route optimization.

The duration can be:

  • Entered manually

  • Set automatically using a default duration in Settings

Use the following format:

hh:mm

Example:

  • 30 minutes → 00:30

  • 2 hours 5 minutes → 02:05

Vehicle size

If your fleet uses different vehicle sizes, GSMtasks can consider these during route optimization.

When both:

  • the task

  • and the vehicle

have size values assigned, GSMtasks will only assign compatible vehicles during optimization.

💡 Best practice

Always select the address from Google's autocomplete suggestions instead of typing it manually. This ensures accurate navigation and prevents invalid destinations.


4. Describe the Task

The Describe Task section provides additional information to help workers complete the job successfully.

You can include:

  • Delivery instructions

  • Installation notes

  • Gate codes

  • Parking information

  • Contact instructions

  • Special requests

You can also attach files such as:

  • PDFs

  • Images

  • Documents

  • Other supported file types

Attachments are visible from the GSMtasks Driver App, giving workers everything they need while on site.

💡 Best practice

Keep descriptions short but informative. Include information the worker needs on-site, rather than general customer information.


5. Custom Fields

Custom Fields allow you to tailor GSMtasks to your business.

They can be used to record information such as:

  • Order numbers

  • Equipment IDs

  • Invoice references

  • Service types

  • Internal notes

  • Any other business-specific information

Each company can configure Custom Fields differently to match its own workflow.


What happens after you create a task?

Once you click Create:

✅ The order appears on the Dashboard.

✅ Assigned workers receive the task immediately (if online).

✅ Every waypoint becomes its own task while remaining linked to the same order.

✅ Route Optimization can include the task.

✅ Customer notifications can be sent (if enabled).


⚠️ Common mistakes

My task won't save

Make sure you've entered at least one valid address.

The worker didn't receive the task

Check that the worker is marked Online in the GSMtasks Driver App.

The task appears under Unassigned

No worker was selected during task creation.

You can assign one later by dragging the task to a worker or using Move Tasks.

The address isn't recognised

Always select an address from Google's autocomplete suggestions instead of entering free text only.
