Working with Pick-up & Drop-off Tasks

Pick-up and drop-off tasks allow GSMtasks to treat two separate tasks as part of the same job.

This is useful for businesses where an item needs to be collected from one location and delivered to another, such as food delivery, courier services, laundry services, equipment rental, or warehouse transfers.


Understanding Task Categories

When creating a task, you can choose one of three task categories:

  • Assignment – A standard task completed at a single location.

  • Pick-up – The location where goods or items are collected.

  • Drop-off – The location where the collected items are delivered.

A pick-up task and its matching drop-off task work together as one delivery.


Linking Pick-up and Drop-off Tasks

To tell GSMtasks that two tasks belong together, both tasks must have the same Reference Number.

For example:

Because both tasks share the same reference number, GSMtasks recognises them as one delivery.

Important: If the reference numbers are different, GSMtasks treats them as completely separate tasks.


Creating Pick-up & Drop-off Tasks

You can create these tasks:

  • manually

  • by importing an Excel or CSV file

  • through the API

Regardless of how the tasks are created, both tasks must share the same Reference Number (if they belong together).

Importing Pick-up & Drop-off Tasks

When importing tasks from Excel or CSV, create two separate rows:

  • one row for the Pick-up task

  • one row for the Drop-off task

Each row should:

  • use the correct Task Category

  • contain its own address

  • contain the same Reference Number

Once imported, GSMtasks automatically links the two tasks together.


Route Optimisation

During route optimisation, GSMtasks uses the shared Reference Number to recognise that the pick-up and drop-off belong together.

This helps ensure both parts of the delivery remain connected throughout planning and execution.

Best Practices for the best results:

  • Use a unique Reference Number for every delivery.

  • Never reuse the same Reference Number for unrelated deliveries.

  • Ensure both tasks use the correct Task Category.

  • Double-check that both tasks share an identical Reference Number before importing.
