Route Optimization via Task Import

Optimize imported tasks into efficient routes before assigning them to drivers

After importing tasks from an Excel file, you can optimize them into efficient routes before assigning them to your drivers.

Before you begin: Complete the task import process. If you haven't imported your spreadsheet yet, see Import Tasks from Excel.


Optimize Imported Tasks

1️⃣ Complete the Task Import

Import your tasks as you normally would.

2️⃣ Start the Optimization

Once the import is complete, click Optimize Import.

3️⃣ Configure the Optimization

Fill in the optimization settings according to your operational needs.


Optimization Settings

Start Location

Choose where routes should begin. Leave this field empty to start each route from the driver's current location. Enter a location if all routes should begin from a specific depot or warehouse.

End Location

Choose where routes should finish. Leave this field empty to end routes where they naturally finish. Enter a location if all drivers should return to a depot or another specific destination.

Start Time

Set a start time if you're planning routes in advance. For immediate dispatch, simply leave this field blank.

Optimize For

Choose what the optimization should prioritize:

Completion Time – Finish all tasks as quickly as possible.

Transportation Time – Minimize total driving time and distance.

Vehicles – Complete all tasks using as few vehicles as possible.

Assignees

If drivers were already assigned during the Excel import, GSMtasks will automatically optimize routes for those drivers. If tasks are still unassigned, select the drivers you want to include in the optimization.

Unassign Non-Optimal Tasks

Enable this option if you'd like GSMtasks to leave tasks unassigned when they cannot fit within the available time or route constraints.

Preview Optimization

Enable Preview to review the proposed routes before applying them. This allows you to verify the optimization before committing any changes.


4️⃣ Run the Optimization

Once you're happy with the settings, click Optimize.

5️⃣ View the Results

After the optimization finishes, click View Optimizations to open the optimization report in a new browser tab. From there you can:

  • Review each driver's route

  • Inspect task order

  • Verify travel times and distances

  • Make adjustments if needed
