What does issuing a credit note involve?
Unlike "deleting" an invoice, a credit note generates a compensation document that leaves the balance at zero with the tax authority. When using it, keep in mind:
Full traceability: The original invoice and the credit note coexist. This is essential for passing audits without errors.
Automatic accounting impact: The system deducts the amount from your income and updates your financial statistics immediately.
Legal validity: It is the only valid procedure for voiding invoices that have already been issued or sent to a client.
How to issue a credit note
The process is intuitive and done directly from your billing panel:
Locate the invoice: From the Business section, find the document you want to void in your list of generated invoices.
Create the credit note: Click the "Create credit note" option from the actions menu "...".
Define the reason: Briefly indicate why you are voiding it (data error, order change, etc.). This is key for your traceability.
Confirm: Once processed, the system will generate an official PDF linked to the original invoice and mark it as "Voided".
When is the right time to use it?
We recommend issuing a full credit note in the following scenarios:
Data errors: Incorrect tax ID, wrong name, or mistakes in the amount or price.
Commercial management: Service cancellations, duplicate charges, or product returns.
Refunds: Whenever a client requests their money back.

Only payments made via Stripe can be refunded
You can choose the amount to refund your client, and a partial or full credit note will be generated accordingly. The refund can be processed automatically to the same payment method used.
If the invoice was created manually
The refund must be managed outside the platform. You can create a credit note from the "..." actions menu of the original invoice, specifying the reason.
What happens after issuing a credit note?
Once the credit note is created, the system updates your financial ecosystem:
Documentation: A downloadable PDF is generated that always references the original invoice.
Communication: You can send the document directly to the client for their records.
Reports: The voided invoice amount will appear as a "refund" in your financial statistics and reports.

Before issuing a credit note, keep in mind:
It is final: It cannot be edited or deleted once created.
Manual issuance limit: If you use the "Create credit note" button, you can only issue one per invoice. Use it for full voids.
Partial refunds (Stripe): If you process refunds through Stripe, you can generate multiple credit notes for the same invoice up to the total amount.
Service access: Issuing the credit note voids the charge, but does not automatically cancel the user's access to the product; you must manage this separately.
New invoices: If you need to correct a data error and re-charge, first issue the credit note, then generate a new invoice.

Is the original invoice modified or deleted when a credit note is issued?
No. The original invoice remains intact in your history to comply with audit regulations. The credit note acts as an attached document that voids or offsets it accounting-wise, leaving the balance at zero without erasing the transaction trail.
Can I issue more than one credit note per invoice?
No. The system only allows generating one credit note per invoice. If you need further adjustments after issuing one, you must handle the new situation through a separate invoice or a manual adjustment.
Is it possible to delete a credit note once issued?
No. As a legally and fiscally valid accounting document, credit notes are final. Once generated, they cannot be edited or deleted, so we recommend carefully reviewing the details (especially the reason and amount) before confirming.
Does the credit note automatically cancel the client's access to the service?
No. A credit note is a strictly financial transaction. Managing access to the product or service (e.g., access to a course or platform) must be done manually according to your cancellation policy.
How does the refund to the client work?
For Stripe payments: If you select the refund option when issuing the credit note, the system will automatically process the return to the original payment method.
For manual payments: The credit note only adjusts your accounting on the platform; the actual money transfer must be managed externally (bank transfer, cash, etc.).
What is the difference between "Voiding" and "Deleting" an invoice?
Deleting an invoice is a practice that can cause legal issues if the document has already been sent. Voiding via credit note is the standard and safe procedure: it records that a transaction occurred and was subsequently reversed, keeping your history 100% transparent.
