How to track feedback from sales and customer success teams working in HubSpot

In this article, you will learn how to install the integration and how the integration actually works.

Why a Harvestr x HubSpot integration?

Your sales and success teams gather product feedback from customers and prospects daily.

To help you keep track of this valuable feedback and merge it with your other feedback channels, we have built a two-way integration that allows teams working in HubSpot to:

1. Escalate product feedback to Harvestr from HubSpot companies, contacts, and deals

2. Keep track of feature requests statuses inside of HubSpot and have access to an individual roadmap for each customer

How to install the Harvestr x HubSpot integration?

Prerequisites

All you need is the following:

  • the HubSpot Admin account

  • a Harvestr Editor account and a Scale, Elite, or Enterprise subscription

1. Connect HubSpot to Harvestr

Go to the HubSpot integration page in Harvestr and click on the connect button. This will pop up the HubSpot OAuth window, and you simply need to proceed. You will then see the permissions you are granting Harvestr, namely:

  • View properties and other details about contacts

  • View properties and other details about companies

  • View properties and other details about deals.

  • View details about users assigned to a CRM record.

2. The Harvestr Product Feedback

Now that your Harvestr and HubSpot accounts are connected, you will see the Harvestr Product Feedback widget displayed in all HubSpot company and contact records.

The widget will be displayed at the bottom of the right sidebar, and it can be moved up to be more visible and to facilitate adoption.

How to use the Harvestr x HubSpot integration?

1. Create feedback from HubSpot companies, contacts, and deals, and send it to Harvestr for the product team

To create new feedback and send it to Harvestr for the product team, click on the New Feedback button on the widget. It will open a new window where you will be able to create Feedback by choosing:

  • Title: give an optional title to your feedback

  • Said by: choose whether you want to assign this feedback to a HubSpot company and/or contact. The default type will be the type of the object where you are creating feedback from. When creating feedback from deals, we assign it to the related company by default or the related contact if no company is associated with the deal.
    ​IMPORTANT: by default, HubSpot Companies will be matched with Companies in Harvestr, and Contacts will be matched with Users. When these Companies and Contacts do not already exist in Harvestr, new Companies and Users will be created.

  • Company: choose, among existing HubSpot Companies, the Company you want to assign the feedback to

  • Contact: choose, among existing HubSpot contacts, the Contact you want to assign the feedback to
    ​

  • Labels: you can add optional labels to your feedback by choosing among the list of labels that your team already created in your Harvestr inbox

  • Content: enter the feedback content

Feedback templates

To structure the feedback you get from Sales and Customer Success, you can define a default feedback template that will be pre-loaded when someone opens the feedback widget in HubSpot.

Templates can be created and managed from dedicated settings in Harvestr.

The default template for HubSpot can be defined in your HubSpot integration settings.

2. Follow Feedback status from HubSpot Objects

After creating new Feedback, you can follow its status and the status of the Discoveries it is linked to. This information will be visible from the Product Feedback widget for each HubSpot Object that is linked to existing Feedback.

IMPORTANT: we will also match feedback and linked Discoveries to your HubSpot Objects, even if this feedback was not created from HubSpot.

For companies, the matching will be done by their names.

For contacts, the matching is done using the contact's email as a unique identifier.

For deals, we will display feedback linked to the company that's associated with that deal. If there is no associated company, we will display feedback linked to the contact who is associated with that deal.

Let's say that you have a HubSpot company called Account1 and that someone from your team creates new feedback in Harvestr and links it to the Harvestr Company called Account1. This feedback will also be linked to Account1 in HubSpot.

Closing the feedback loop with your team

In Harvestr, you can set up email notifications that will be sent to the teammates who send you feedback from Hubspot to keep them up to date. To set these notifications, go to the Hubspot integration settings in Harvestr.

Three types of notifications can be sent:

1) When feedback sent from Hubspot is read in Harvestr

2) When feedback sent from Hubspot is linked to a Discovery in Harvestr

3) When the linked Discovery is set to specific states

How to upgrade the Harvestr x HubSpot integration?

When we release bug fixes or new features for the integration, the updates will be automatically added to your integration without any action required from your side.

How to uninstall the Harvestr x HubSpot integration?

To uninstall the integration from Harvestr, go to the HubSpot integration page in Harvestr and click on the "Remove HubSpot integration" button.

To uninstall the integration from HubSpot, follow the steps described at the end of this article from the HubSpot Knowledge base.
