Within the billing tab of your Hauler Hero account, you will notice a new section on the left side bar for groups. Within the groups tab you will see Invoice Groups.
Invoice groups are designed to help you manage and visualize your invoice data.
You will start by creating an invoice group. Select the plus sign in the upper right hand corner. You will need to name your group (this name can be changed if needed). The invoice groups that you create are entirely up to you.
Once you have created your groups, now we can add invoices to them
The first way to do this, is to select the + option on your group card. Select the Billing profile and billing period. Select the invoices you wish to add to the group. There is no limit to how many times or how many invoices you can add to a group. You can always add more.
The second option for adding invoices to a group, is from the Invoice section of your billing tab. For this demo I am choosing to filter by bill group, however the options are endless. You could search by all $0 invoices and group them, you could filter by a particular tag.
Once you have your groups created, you will see 3 pie charts of data. This data is only for the particular group you are looking at.
Pie chart 1 - Invoice status - Draft, Unpaid & Paid
Pie chart 2 - Aging bucket for the whole group
Pie chart 3 - Email status
If you select the eye in the upper right corner of the card, you will the full statistics of this group.
The total of invoices, Collected revenue, Uncollected revenue, number of accounts.
You will also see a full list of invoices. If you have added the wrong invoice to a group, you can select the 3 dots here to remove the invoice from the group.
Back on the card view, the 3 dots in the upper right hand corner is essentially the menu option for the group.
You can edit the group name, download all invoice in the group, email all invoice (paid or unpaid), email just the unpaid, regenerate draft invoices, mark your draft invoices as sent. If you are a Hauler requiring a JSON file, you will start by selecting the Generate Bulk Print Data. This will take a couple minutes to generate, then select the Download bulk print data. This download will be a JSON file that you can send to your third party printing company. Lastly, another option here to remove invoices.
Can you delete a group once it is created?
Not at this time. We will continue to build on and improve.
Can you limit who can see the groups?
At this time groups can be seen by anyone within your organization that has permission to see the billing tab.
What happens if I accidentally clicked on Email invoices, when I only wanted to email unpaid invoices?
We have a pop up warning in place for that. You will need to confirm you wish to email all invoices within that group.
What is Bulk Invoice Data?
This option allows you to create a JSON file to send create a file to send to any third party invoice provider.
What is a JSON file?
JSON is an open standard file format and data interchange format that uses human-readable text to store and transmit data objects consisting of attribute–value pairs and arrays.
When you download the JSON file, this file will not read like an invoice, rather a script that you can send to a printing service.
