Viewing and Deleting Reports in the Hub

Access, search, download, and manage your health and safety reports from the HazardCo Hub

Who Can View and Delete Reports?

Standard, Premium, and Complete members:

  • Hub Admin and Hub User roles can view all reports created by their team

  • Can download reports as PDFs

  • Can search and filter through report history

  • Can delete reports (report creator and Hub Admin only)

What Are Reports?

The Reports area provides a centralised location to view all health and safety reports created by your team as well as reports created by other people that scanned onto one of your projects. All reports are automatically synced between the App and the Hub, making them accessible to both your office and field based team members.

How to Access Hub Reports

  1. Log into the HazardCo Hub

  2. Select Reports from the left-hand menu

  3. Browse through your organisation's reports or use the search and filter options

Understanding the Reports Table

The Reports page displays all reports in a table format with the following information:

  • Report Type – The category of report e.g. Toolbox Meeting, Site Review, Risk Assessment etc.

  • Location/Asset - The address/vehicle/machinery that the report was created for

  • Created by - The name of the person who created the report

  • Company – The name of the company that created the report

  • Date – The date the report was created

  • Details - Used to display additional useful information for different report types e.g. the registration expiration date for a vehicle or whether a document has been signed off:

    • Signed - All requested reviews have been completed and signed

    • Pending - One or more requested team member review still needs to actioned

    • Declined - One or more people have reviewed and declined to sign the document

  • Actions – Actions you can take with the report e.g.

    • View - Open the report to view it in the Hub without downloading it

    • Download - Downloads a copy of the report to your device

    • Delete - Use this to delete reports if they were submitted in error

    • Edit - Use this to make updates to your reports e.g. adding more details or correcting mistakes

Viewing Reports

How to View a Report

  1. From the My Reports page, locate the report you want to view

  2. Click the three-dot options button in the Actions column next to the report

  3. Select View from the dropdown menu

  4. The report will open and you'll be able to read it without leaving the Hub or downloading it


Searching and Filtering Reports

Using the Search Function

Use the search and filter tools to quickly find specific reports:

  1. Locate the search bar at the top of the Reports page

  2. Enter keywords such as:

    • Addresses or vehicle registrations

    • Report creator names

    • Company names

  3. Press Enter or click the search icon

  4. The reports table will update to show matching results

Filter by report type

  1. Click the Filter icon to the right of the Report Type column in the reports table

  2. Select specific report types to view e.g.

    • Toolbox Meetings

    • Site Reviews

    • Risk Assessments

    • Vehicle Checklists

  3. The reports table will be updated as you select different report types in the filter menu

  4. To clear selected filters either refresh the page or unselect all report types from the filter menu

Tips for Effective Searching:

  • Combine search terms with filters for more precise results

  • Filter by report type when you need to review all instances of one report category

  • Search by location to find all reports from a specific site


Deleting Reports

Reports can be deleted if they're no longer required, such as test reports or ones saved by mistake.

Who Can Delete Reports?

  • The report creator can delete their own reports

  • Hub Admin users can delete any reports

How to Delete a Report

  1. From the Reports page, locate the report you want to delete

  2. Click the three-dot Options menu next to the report

  3. Select Delete

  4. A confirmation dialogue will appear

  5. Click Delete to permanently delete the report

Please Note:

  • Deleted reports cannot be recovered

  • Once deleted, the report is permanently removed from both the Hub and the App

  • Consider carefully before deleting reports that may be needed for compliance or record-keeping

When to Delete Reports:

  • Test reports created during training or system testing

  • Draft reports that were never completed

When NOT to Delete Reports:

  • Reports related to incidents

  • Historical safety documentation that may be needed for audits

  • Reports that demonstrate compliance with safety regulations

  • Any report that might be needed for future reference


Troubleshooting

I can't find a specific report

  • Check your search terms - try broader keywords

  • Clear any active filters that might be hiding the report

  • Verify that the report was successfully submitted (check the App Reports for "Failed" status)

  • If shared by a non team member check that it they linked correctly to your project (they can try uploading it again to your project documents via the App after scanning on site)

  • Check that it wasn't only shared to your email address using the App > Reports > Share function

I can't delete a report

  • Only the report creator and Hub Admin users can delete reports

  • Check that you have the correct user role permissions

  • If you're a Hub User (not Hub Admin), you can only delete your own reports

The report isn't showing in the project documents

  • Check that you've linked the report to the correct project

  • Navigate to the Project Overview and scroll to the Documents section

  • If the report isn't there, try uploading it to the project again
