Step-by-step walkthrough
Once you've added contractors in the HazardCo Hub, you can choose which ones you want to send a pre-qual request to on the My Contractors
Email invite gets sent to contractor with a link to start the pre-qual (and create an account if required).
The contractor logs into the HazardCo Hub to complete the guided pre-qual form. During pre-qual contractors provide important information about their business and H&S practices.
If the contractor ignores the pre-qual request, we’ll send them reminders to complete it. These are automatically sent every 48 hours if no action is taken by the contractor.
You can also trigger reminder emails from the My Contractors page in the Hub. To do this select one or more people from your contractors list and click the “Send Pre-qual” button.Contractors can save their pre-qual progress as they go. This is helpful if they aren’t able to complete the pre-qual in one sitting. e.g. they don’t have all the required evidence on hand or need to stop in the middle for any reason. They can jump back in at any stage to finish the pre-qual, exactly where they left it, when they’re ready to do so. We’ll remind them to complete their pre-qual until it’s submitted for review.
Once a contractor has entered all mandatory information they can submit it to you for review. We’ll let you know via email when there is a pre-qual ready for you to review. You can see all pre-quals that are ready for you to review on the My Contractors screen in the Hub.
When reviewing a pre-qual you will see all answers and any supporting evidence provided by the contractor. You can choose to accept or request more information for any question as you see fit.
If you need more information from a contractor on any question, you are able to request more information and explain what you’re looking for. The contractor will be sent an email to resubmit their pre-qual. When they jump back in they will be able to see exactly where you have asked for more information. You can request more information as many times as required until you are satisfied with their pre-qual.
If all information within the pre-qual is acceptable, click Approve all to change the status to Approved.
The contractor will be sent an email to let them know that it was approved.
The Approved status remains for 12 months from the date of approval. The system automatically lets you know when pre-quals are expiring and you can request any contractors to resubmit their pre-qual from My Contractors in the HazardCo Hub. Please note that if a contractor's insurance expires before the 12 months pre-qual period is up they will be notified to update it without you needing to take action.
You can view a contractors information from the My Contractors page in the Hub. Here you'll find their pre-qual history, documents, workers information and any uploaded certifications e.g. trade licences/certificates/white cards etc.
