How to Make Changes to a Service

This guide walks you through everything you can configure on a Healthera service — from the service name and category, through to who delivers it, what you charge, and when patients can book.

Before you start

A service in Healthera is configured across four tabs:

  • Settings — name, category, booking method, fulfilment method, questionnaire, consultation/practitioner type, duration and consultation room.

  • Content — short and long descriptions patients see before booking.

  • Payment — online charging and add-on items.

  • Schedule — when patients can book this service.

You can update any of these at any time. Make sure you click Save (or Save and publish on the Content tab) on each tab to push your changes live.

Step 1 — Open the service

  1. Click on the service you'd like to amend (for example, "Blood testing").


Step 2 — Update the Settings tab

The Settings tab is open by default when you click into a service.

Set a custom name (optional)

If you'd like to change the templated service name, click the Set a custom name for service field and type the new name (e.g. "Blood testing"). The custom name will replace the original service name everywhere it's shown to patients.

Assign a category (optional)

Under Categories, click Select and choose the category you want this service to appear under (e.g. "Flu/Covid").

Pin the service (optional)

Toggle Is Pinned on if you'd like this service to appear at the top of your services list.

Choose how patients book

Under Availability, choose how patients can book this service:

  • Book online — patients book directly through Healthera.

  • Enquire only — patients are shown your pharmacy phone number to call instead.

Choose the fulfilment method

Under Fulfilment method, select how the service is delivered:

  • In person

  • Drop in

  • Phone consultation

  • Online consultation

  • Other

Attach a questionnaire (optional)

If you'd like patients to complete a questionnaire as part of booking, click + Add Questionnaire, then click Select next to the questionnaire you want to use (e.g. "Pharmacy First – UTI").

Set the consultation type

Click the Consultation Type dropdown and select the option that best matches your service:

  • NHS

  • Private

  • PGD

  • Other

Set the practitioner type

Click the Practitioner Type dropdown and select who will deliver the service:

  • Pharmacist

  • Technician

  • Prescribing Pharmacist

  • Other

Set the service duration and concurrent slots

Choose the Service duration in minutes (15, 30, 45 or 60). This makes sure your calendar blocks out enough time for each appointment.

Then choose your Concurrent slots — the number of appointments you can run in the same time slot (e.g. 3 means three patients can book the same time).

Choose the consultation room

Under Consultation room, tick the room(s) this service can be run in (e.g. "Consultation Room 1").

Save the Settings tab

Click Save in the top right to keep your changes.


Step 3 — Update the Content tab

Click Content at the top of the service page to open the description editor.

  1. Short description — click into the Short description field and add a brief explainer of the service. This is what patients see when they click into the service before booking.

  2. Section title (optional) — click into the Section title field and add a heading for your longer description (e.g. "About this service").

  3. Long description (optional) — click into the long description body and add any extra detail you'd like patients to see — facts about the service, after-care advice, preparation steps, or images.

  4. Once you're happy with the content, click Save and publish in the top right to push your changes live.

⚠️ Important: Save and publish publishes your changes to the website and app. The plain Save button only saves them as a draft.


Step 4 — Update the Payment tab

Click Payment at the top of the service page.

  1. Under Service charged online, click Yes – charge online to enable payments for this service.

  2. Click into the Price field (showing £ 0.00) and type the booking fee you'd like to charge.

ℹ️ How do I know the patient has paid? A paid booking will appear in your calendar. You can also manage payments and issue refunds from within the appointment booking.

Step 5 — Update the Schedule tab

Click Schedule at the top of the service page.

Click on individual squares to set patient availability:

  • Green = patients can book this slot.

  • Grey = the slot is unavailable.

Once you're happy with your selected times, click Save in the top right.
