Inviting your team to Heron

Invite and assign roles to team members to join Heron.

You can easily invite new team members to join Heron and give them the right level of access for their role. Whether it’s a Practice Manager, Receptionist, or Owner – you’re in control.

🧑‍⚕️ Assigning a Role by Job Title

When inviting someone, you’ll also be asked to choose their Job Title, such as:

  • Doctor

  • Nurse

  • Healthcare Assistant

  • Manager

  • Receptionist

  • Billing/Accounts Administrator

  • Staff

  • Other

This helps personalise their experience and allows better internal tracking.

📌 Note: The Job Title does not affect access — their permissions come from the role you select (Owner, Admin, or Member).

👥 Access Level in Heron

Before you invite someone, choose the right access level and role:

Access Level

Details

Owner

Full access. Can configure Heron for all clinics and view all workflows.

Admin

Same as Owner. Ideal for Operations or Practice Managers.

Member

Limited to viewing the workflow screen for their assigned clinic only. Great for reception/front desk.

✉️ How to Invite a New Team Member

  1. Go to your Heron Dashboard

  2. Click on "Settings" then "Members and Roles"

  3. Select “Add Team Member”

  4. Enter the new team member details.

  5. Choose their role (Owner, Admin, or Member), clinic and access level.

  6. (Optional) Assign the Member to a specific clinic if applicable

  7. Hit Send Invite

They’ll receive an email with a link to enter in their own personalised password and confirm their Heron login. They will then be able to log into Heron.

✅ Best Practices

  • Use Owner/Admin access level for team members who manage or configure your Heron setup.

  • Use Member role for usewrs who just need access to daily call workflows.

  • You can always change someone’s role later in "Members and Roles" area.
