What it is: A tool for instructors and program providers to share photos from activities so enrolled families can view a private feed of their children.
Who it's for: Organizers and families
Where it lives: Photos page, available in the activity view for organizers and in the family dashboard
What you can do with photo sharing
Upload photos
Instructors assigned to an activity can upload photos directly from their device on the activity's Photos page.
Tag students and add captions
Tag individual students, a group, or the full activity roster on each photo. Add a caption to give families context about what is happening in the photo.
Share with families
Select any tagged photos and share them. Families who have opted in receive an email and SMS notification as soon as photos are shared.
Family photo feed
Families see a private, scrollable feed of photos shared with them, sorted newest first. Each photo has a download button.
Review and manage photos
Organizers can view all photos in the library, filter by status (untagged, tagged, or shared), edit captions, and delete any photo.
How to use it
Go to the Photos page for the activity.
Click Upload and select one or more photos from your device.
Tag each photo by selecting individual students, a group, or the full activity roster. Add a caption if helpful.
If a student is opted out of photo sharing, you will see a warning when tagging them and not be able to move forward.
Select the photos you want to share and click Share.
Families receive an SMS notification and can view the photos on their Photos page right away.
Setup, Prerequisites, and Instructor Access
Photo sharing is on by default for all activities. No setup is needed to start using it. Instructors must be assigned to an activity to access that activity's Photos page. Parents can opt individual children out of photo sharing by going to People > Participants > Participant Details and toggling the opt-out option.
To enable instructors to share photos with families, instructors must be added to activities and have active Homeroom accounts.
Add instructors to an activity
Navigate to your activity in Homeroom
Assign one or more instructors to the activity
Assigned instructors will be able to upload and tag photos for that activity
Have instructors create Homeroom accounts
If they don’t yet have one, invite them to sign up using the same email address you entered when you added them
They’ll need to log in to access photo sharing features
Once assigned and logged in, instructors will see the option to upload and share photos!
Common questions
What happens if a parent opts their child out of photo sharing?
You will see a warning when tagging that student. You may proceed only if you are sharing the photo directly with that student's family, or if the student does not appear in the photo.
Can a parent see photos if they unsubscribe from photo notifications?
Yes. Unsubscribing from photo notifications only stops the email and SMS alerts. The parent can still open their Photos page and see the full feed at any time.
Can a photo URL be shared with someone outside Homeroom?
No. Photos are delivered using a secure, session-based token. Anyone without access to the Homeroom family account will not be able to view the photo, even if they have the URL.
Who can edit or delete shared photos?
Organizers can edit captions, delete photos, and filter the full photo library. Instructors can view the photos they have uploaded.
