How to reconcile funds between Horse Monkey and Stripe Reports

Horse Monkey and Stripe allow you to have complete control over your funds.

Stripe reports the details of each transaction individually. This is because transactions are recorded as time progresses and as you know entries can be happening at the same time for multiple events, while you can see individual transactions in Horse Monkey in Financials > Bookings, Horse Monkey Event Reports help you consolidate entries by event so you can see exactly how each one of your shows has performed.

Although there are multiple ways of generating reports, here is a step by step guide of how to generate reports that will help you reconcile funds.

In Horse Monkey

  1. Go to: Financials > Reports

  2. Find the event you want to reconcile

  1. Click on the three dots to the right of the event, and click View St

Note: The Event Summary on Horse Monkey will give you a quick reference, which shows you the following information,

  1. The group header shows the total amount paid for all items within a specified group

  2. Horse Monkey Fees are shown separately so that you can quickly see how much VAT you will be able to claim if you are VAT registered.

  3. Should you choose to absorb these fees you will see the noted on this section of the summary

  4. On the excel book generated you will find the individual Stripe transaction codes on the HM Transactions tab and also in the Payment details, either of these references can be used to reconcile with Stripe reports.

On your Stripe Dashboard

  1. Go to Balance and then Transactions to generate the Balance History Report (you can apply date periods just make sure that the dates selected go to when the first entry for the show was made - you can check this in the Horse Monkey Show Report on the HM Transactions tab)

  2. This report allows you to apply filters to the HM Entry ID (metadata) andHM Event ID (metadata) columns so that you can group the entries for a particular event.

  3. Filter your Stripe report based on the Description column using the Event ID from Horse Monkey, then you can total up the column called NET to get the total amount that will be banked by Stripe to your account so minus (HM fee and Stripe Fee)

  4. Please note that all transactions will be exported including the payouts that have been sent from Stripe to your Bank account.

  5. Stripe Reports consolidate both the Horse Monkey Fee and the Stripe transaction fee, regardless if you are transferring the fee to competitors. The total you will receive per transaction is detailed in the NET column of this report.

  6. The individual transaction codes registered in the Horse Monkey Reports can be used to cross reference against the Stripe Report.
