This guide explains how to use the Payroll Changes Report effectively. Follow the steps below to configure, download, and interpret the report for payroll management.
Set the Date Ranges
Define the Effective Date Period:
This range determines which changes, effective during the selected period, are included.
Example: From 1st December to 31st December, any effective changes in this window will appear in the report.
You can also set a future date range (e.g., 1st November 2024 to 31st December 2024) to review upcoming changes.
Define the Changes Since Date:
This identifies changes that occurred from a specific date (e.g., 15th November) until the current or specified date.
This data appears on a separate sheet within the report.
Choose Data Fields
Customize the fields you want to include in the report:
Standard fields like First Name, Last Name, Work Email, and Department are pre-selected.
Additional fields such as Employment ID, Job Title, Contract Type can be added as needed.
Use the search bar to locate specific data fields.

Saving and Scheduling
Save the report configuration for recurring use.
Schedule the report to run automatically for regular updates. You can schedule reports to send via email our through Safe File Transfer Protocol (SFTP).
Downloading the Report
Once configured, download the Excel file by clicking Download XLXS.
The file includes up to four sheets depending on the fields selected.
Understanding the Report Output
Legend
Each sheet includes a legend explaining the color codes:
Green: New data added within the date range.
Yellow: Data has been changed.
Red: Data is no longer effective or the record is being offboarded.
Red with Strikethrough: Data has been deleted from the system.
Employee Field Changes:
Tracks changes in employee-related fields.
Example:
Employment end date updated.
Bank details (name, account number) changed.
Compensation Changes:
Shows updates to compensation data:
Effective changes appear in green.
Adjusted values appear in yellow.
Deleted or outdated compensation is flagged in red.
Note: Sequential changes within a short period may result in multiple flagged entries.
