Submitting and tracking requests

Submit HR requests directly in Humaans and track their progress through approval flows, including approver decisions and comments, all in one place.

This guide covers how to submit a request, follow its progress, and leave comments.

Submitting a request

  1. Click Requests in the main menu.

  2. Click Create request.

  3. Select the request type that matches what you need, then click Next.

  4. In the Requested for dropdown, select the person the request is about. If the request type is set up for self-service requests, your name is pre-selected and the field isn’t clickable.

  5. Fill in the form fields. Required fields are marked and must be completed before you can submit.

  6. Click Send request.

After submitting your request

Once you’ve submitted your request, you’ll be taken to the request detail page, where you can track its progress. At the start of the approval process, the request will have a status of Requested.

Tracking your requests

The Requests page lists all requests you have visibility of, including requests you've submitted, requests submitted on your behalf, and requests you've been assigned to complete.

Each row shows the requestor, the person the request is for, the request type, the status, and the date it was created. Active requests that are awaiting approval or in progress appear at the top.

Filter requests

To find a specific request, use the filters at the top of the page. You can filter by:

  • Request type

  • Requested by (who submitted it)

  • Requested for (who it's about)

  • Status

Understanding request statuses

A request moves through several statuses during its lifecycle:

  • Requested: submitted and waiting for approval

  • In progress: approved and assigned to someone for completion

  • Completed: fulfilled and closed

  • Declined: rejected by an approver

  • Cancelled: withdrawn by the person who submitted it

Viewing request details

Click any request to open its detail page. The page is divided into several sections:

  • Request for: overview of the person the request is for, their job title, team, department, location, and reporting line.

  • Details: displays submitted form responses. If the request involves changes to profile data, such as a new salary or job title, both the current and proposed values are shown.

  • Approvals: a step-by-step view of the approval flow, showing who needs to approve at each step, how many approvals are required, and the current decision status of each approver.

  • Activity: a chronological timeline combining status changes, approval decisions, and comments.

The sidebar displays the requestor, assignee (if applicable), creation date, and current status.

Viewing and leaving comments

Comments appear in the Activity section alongside other events such as approval decisions, status changes, and assignments. This gives you a single timeline of everything that's happened on a request.

Viewing comments from approvers

When an approver leaves a comment on your request, it appears in the activity timeline with their name, profile photo, and a timestamp.

Note: Comments are visible to everyone involved in the request, including the person who submitted it, the approvers, and anyone assigned to complete it.

Leaving a comment

  1. Scroll to the bottom of the request detail page.

  2. Click the comment field that is labelled Leave a comment.

  3. Type your message.

  4. Click the submit button to send.

Your comment appears immediately in the activity timeline and is visible to all approvers and other participants on the request.

Cancelling a request

You can cancel a request you've submitted, provided it still has a status of Requested (it hasn't yet been approved, declined, or completed).

  1. Open the request.

  2. Click Cancel request.

  3. In the confirmation dialog, optionally add a comment to explain why you're cancelling.

  4. Click Yes, cancel.

The request status changes to Cancelled and it's removed from the approval flow. Any pending approval steps are skipped.

Notifications

You'll receive notifications at key points in your request's lifecycle:

  • When your request is completed or declined: you're notified by email and Slack (if applicable) with the request type, status, and the person it was submitted for.

  • When you're assigned to complete a request: if an approved request is assigned to you for fulfilment, you receive a notification with the request details.

To review a notification, click through to the request detail page where you can see the full context, approval history, and any comments.

Managing notifications

To receive notifications about requests, ensure that you have some or all of the following options enabled under Managing notifications in your profile:

  • Requests requiring your approval

  • Requests assigned to you

  • Your request is completed or declined
