Managing equipment

You can keep track of all company equipment issued to each employee by using the Equipment section of an employee's profile. In this guide, we'll discuss how you can add equipment to employee profiles, and how to export all equipment data for your organisation.

Adding equipment

You can add equipment by following these steps:

  • In the People dashboard, click on the desired employee, then click Full profile.

  • Under Profile, scroll down to the Equipment section, then click Add equipment.


Available fields

The available fields are as follows:

  • Type - The type of the equipment, such as Laptop, Mobile phone, Screen. You can create new types by typing them in

  • Name - The name of the specific make and model of the piece of equipment. E.g. "LG UltraFine 4K" or "MacBook Pro (15-inch, 2020)".

  • Serial number- Serial number of the piece of equipment, if applicable.

  • Cost - How much the equipment cost. This field is not visible to the employee or their manager.

  • Note - Any additional notes that might be useful for reference later.

  • Issue date - The date the equipment has been issued to the employee.

  • Received the same day it was issued - Uncheck this if you would like to specify a different date from when the equipment has been issued (e.g. sent by mail or purchased online) vs the date the equipment has been received and acknowledged by the employee.

  • Equipment has been collected from the employee - Check this to specify the equipment collection date. Once the collection date is specified, the piece of equipment will be hidden from the list of equipment by default and can be revealed using the Show collected toggle.

  • Attachment - An optional file attachment, e.g. could be a receipt or a photo of the equipment.

Exporting equipment

All of the equipment entries from all employees can be exported in a single .csv file in the Reports tab. For more, see Exporting data and saving reports.
