Managing Time Away Permissions

In this guide, we'll discuss the available time away permissions that are available, and how to manage them.


Available permissions

There are a variety of time away permissions available to enable/disable. It's important to be aware of what these permissions grant each role:

Admin permissions

These determine which admin features users in this role have access to.

Time away

This permission allows the user to manage time away settings.

This includes managing policies, types, and approval settings.

Data points

Determines how the user can manage time away type, based on the Profile permission.

Can view time away

This permission includes accessing the 'Manage time away' profile page, with full details of every booking and all balances

Can manage time away

This permission includes managing allocations, adjustments and historical edits.

Please note that the level of these permissions depends on the Profile permissions that are set for the role. To learn more, see Managing Permissions and Roles.


Non-editable time away permissions

It's worth noting that some time away permissions are role-specific and cannot be changed:

  • Owners will always have the ability to view and manage time away.

  • Admins will always have the ability to view time away.


Editing time away permissions

  • In the Home menu, click Settings, then click Permissions.

  • Select the role who'd permissions you'd like to edit.

  • Scroll down to Time away, then edit the desired options within Time away.

  • Scroll further down to Data points, then edit the desired options within Time away.

  • When you're ready, click Save in the top right hand corner to commit to the changes.


Allow Managers to book time off for reports

  • In the Home menu, click Settings, then click Permissions.

  • Select the Managers role.

  • Scroll down to Time away.

  • Under All time away types tick the Book box for the leave types you wish to let Managers book for their reports.

  • Click Save.

Once saved Managers can navigate to the Manage time away screen of their reports where they will have the option to Book time away. They can them book the permitted leave types on their reports behalf. All bookings will be automatically approved.


Allow Owners/Admins only to book certain leave types

  • In the Home menu, click Settings, then click Permissions.

  • Select the Users role.

  • Scroll down to Time away.

  • Under All time away types un-tick the Book box for the leave types you wish to remove as a bookable option for users.

  • Click Save.

  • By default all available Leave types can be booked by Admins and Owners. You can configure Book access for these or other roles to give access to book these leave types on behalf of other users.

  • The Leave type will only be available if it is part of that Users PTO policy.
