In this guide, you'll learn how to manage, create, edit and delete roles. You'll also learn how to set specific permissions for each role type.

Automated roles

There are two automatically assigned roles in Humaans:

Users: All users in Humaans are automatically assigned to the Users role. The scope of this role defines what profile details users can view and edit on their own profile.

Managers: Refers to members of your organisation that have direct reports (as set in Employment > Role > Reporting to). The scope of this role defines what they can view and edit of their reports profiles. They can approve time away requests for direct reports if approval is needed.


Default roles

Humaans has four default roles that users can be assigned to:

Owners: Have full view and edit access of all profiles and info in the platform. Only Owners can set user roles and edit permissions. Only Owners can access Tables.

Admins: Have full view and edit access of all profiles by default without access to Compensation and Documents. This can be configured. Admins can access Insights, Workflows and Integrations.

Finance: Have full view access for profiles including salary and can manage the subscription by default. This can be configured. Finance can access Insights and Workflows.


​Tech: Can edit and report on Equipment data on all profiles, with restricted access to Basic and Employment info by default. This can be configured

Default roles can have their access edited by users with Owner permissions. For more, see Editing roles.


Creating a new role

Editing an existing role

You can edit an existing role's access with the following steps:

  • In the Home menu, click Settings, then click Permissions.

  • Select one of your existing roles

  • Edit from the available permission configurations

Workspace permissions

Determines which workspace features users in this role have access to

  • People directory: Toggle access to the Org chart

  • Reporting: Access to export, save, access shared and schedule reports

  • API Access: Can create and use API tokens

Admin permissions

Determines which admin features users in this role have access to

  • Admin settings: Manage company Docs, Personal docs and custom fields

  • Time away : Manage settings for policies, leave types and approvals

  • Timesheets: Manage timesheets settings

  • Billing: View and manage the billing section

Profile permissions

Determines which profiles and their data points can be viewed and edited by members of this role. You cannot reassign profile permissions of an existing role

Time away permissions

  • View time away: Will let this user see the details of these profiles bookings, their maange time away screen and all associated leave balances

  • Manage time away: Will let this user manage the policy allocations, balance adjustments and edit the history of these profiles

  • Time away types: Here you can configure which time away types this user can book for their scope

Identification

  • View, upload, verify and manage verified identification documents

Timesheets

  • Can view timesheets: Will let this user view timesheets in progress as well as unapproved and historical timesheets

  • Can submit timesheets: Will let this user edit and submit timesheets

  • Can review timesheets: Will let this user review, approve or request edits on submitted timesheets

Documents

  • You can then give View or Edit access to each Personal document type. You can also configure access by type in the Documents section.

  • When configured click Save in the right hand corner to confirm your edits


Multiple roles

Users in Humaans can be assigned multiple roles. For example you can be a User, Manager and Owner.


When assigning a user to a new role they will inherit the access that role grants. For example:


A User in the Sales Department with reports is also a Manager. They are then added to a Custom role with access to View and Edit Data for the Sales Department. They will have :

  • Users level access to their own Data

  • Manager level access to their direct Reports (and reports sitting below them)

  • They will have access to View and Edit the data points configured in their Custom role for all users in the system in the Sales department, even those outside their reporting lines. Note: The custom role access will not give them access to view info on their own profile that is restricted under their User role.


Deleting a role

To delete a custom role, follow these steps:

  • In the Home menu, click Settings, then click Permissions.

  • Select one of your existing roles.

  • Scroll to the bottom of the page to Delete role, then click Delete.

  • A pop-up window will appear, showing you how much people will lose permission settings. To confirm, click Delete again.

You cannot delete default roles (owners, admins, finance, tech, managers, users).
