Send automatic, dynamic emails to your users at specific times through Workflows.

In this guide, you'll learn how to:

  • Create an email through Workflows.

  • Select a trigger date on when this email is to be sent.

Before you can send an email address through Humaans, a sender email address needs to be verified by a user with Owner permissions. For more, see Verifying a sender email address for Workflows.


Creating an email action

  • Click the top right-hand corner of the Workflow template edit menu, then click Add action. You can also click Add action at the bottom of the menu.

  • Select Send email, then name the action and click Enter on your keyboard.

  • Add the Recipient: this can be the assigned employee's work email, personal email, or a specific user within your Humaans account.

  • Add the Sender email: The address that sends the email. This can be the manager of the employee's email, or a specific user within your Humaans account.

  • Add a Subject, the email body.

  • Select a trigger for the email to send.

  • When ready, navigate away from the window (edits are saved automatically).


Adding dynamic placeholders to email subject and body

You can use data from within Humaans to automatically add to the subject and body of your email by using dynamic placeholders. To do this, you can click the Tag icon to the right hand side of the Subject and Body fields. You can add the following placeholders:

  • First name

  • Last name

  • Full name

  • Preferred name

  • Personal email

  • Work email

  • Contract type

  • First working day

  • Department

  • Job title


Trigger types

Like with tasks, you can set a trigger date for when the email will send. The available triggers are:

  • First working day

  • Last working day

  • Probation end date

  • Immediately (sends once the user is added to the workflow)

  • Manually (you/someone with the correct permissions has to manually send the email)

  • Custom (select a custom date that the email will send)
