Single Shifts

A Single Shift is a one-off shift for a client at a specific date and time. It’s the most common way to roster work when the shift isn’t repeating and doesn’t involve multiple staff.

Single Shifts are created from the Calendar using the Create Appointment panel.

Create a single shift

Open your Calendar and start creating a shift (for example, by clicking a day/time slot). The Create Appointment panel will slide in from the right.

Fill in the shift details, then select Create Appointment to save.

If you need a Group Shift (multiple staff) or a Recurring Shift, you can switch to those options from within the same panel (covered in separate articles).

What you can set on a single shift

Appointment title

This is the shift name that helps your team quickly understand what the shift is (for example: “Community access”, “Personal care”, or “Weekly check-in”).

Client

Start typing the client’s name to search, then select them from the list. Once a client is chosen, the form will automatically help pre-fill details like the address (which you can still edit).

Employee (who’s working the shift)

Choose the staff member assigned to the shift.

If you’re using Shift Pool, you can leave the shift unassigned so it can be picked up/allocated later.

Options available beside Employee:

  • Shift Pool: makes the shift unassigned (useful for vacant shifts).

  • Apply Travel Claim In-between: marks the shift so travel between this shift and adjacent shifts can be applied according to your travel-claim workflow.

Appointment Type

Appointment Type controls what kind of service the shift is (and is used for consistency and billing).

If the client is NDIS, Appointment Types come from your NDIS price book, and you’ll see a GST indicator on each type (for example “+GST” or “GST Free”). You can also select Manage Types to update your available NDIS types while you’re creating the shift.

Start / End date & time

Set the shift’s start and end date/time. The end time must be after the start time.

Duration shortcuts

Use the quick duration buttons (for example 0:30, 1:00, 1:30, etc.) to automatically set the end time based on your selected start time.

Appointment address

This is where the shift takes place. It’s required, and it commonly defaults from the client’s saved address, but you can adjust it if needed.

Appointment comments

Optional notes for the shift (for example: access details, reminders, or client preferences).

Helpful tips

  • If you see a rostering/compliance warning after saving (for example, related to staff working patterns), it’s a warning to review - not necessarily a block.

  • If you’re not ready to assign a staff member, use Shift Pool so the shift can still be created and allocated later.

Quick checklist (before saving)

  • Appointment title, Client, Start/End time, and Address are filled in.

  • Appointment Type is selected.

  • Employee is selected (unless you’re using Shift Pool).

  • Travel claim option is set correctly (only if applicable).
