NDIS Service Agreements

NDIS Service Agreements lets you build, review, download, and manage NDIS service agreement documents for a specific client budget. It also keeps a list of saved drafts, sent agreements, and signed agreements so you can return to them later.

Where to find it

Open the client’s NDIS budget workspace and select a budget. You will see an Agreements section in the workspace sidebar.

On desktop, the sidebar includes:

  • Agreement

    • Create New

    • Generated Agreements

On mobile, these appear in the workspace selector as:

  • Agreement / Create New

  • Agreement / Generated Agreements

If no budget is selected, you will be prompted to Select a budget to view details.

Create a new agreement (Agreement Builder)

  1. Select a budget.

  2. In the sidebar, open Agreement.

  3. Select Create New.

This opens Agreement Builder, described as: “Build, review, and download an NDIS service agreement document for this budget.”

Common fields you can set in Agreement Builder

You may see fields such as:

  • Status (Draft, Sent, Signed, Expired)

  • Effective start (date picker)

  • Effective end (date picker)

  • Version with an Increment button

  • Supports covered (a count)

  • Service agreement required (recommended for complex supports such as SDA), with a reason field

  • Covered supports preview

  • Draft notes

Save the agreement

Select Save Agreement. While saving, the button shows Saving....

Saving is what makes the agreement appear in Generated Agreements.

Download the agreement PDF

Select Download PDF.

  • When successful, you will see Agreement PDF downloaded.

  • If it fails, you will see Failed to generate agreement PDF.

Send an agreement for signing

Agreement Builder supports a guided “Send for signing” flow.

  1. Open the send flow. A dialog opens titled Send for signing.

  2. Step 1 asks for:

    • Recipient name (placeholder: “Participant name”)

    • Recipient email

  3. Select Next: Place Fields.

  4. In the placement step, you can position fields on the document preview:

    • Signature

    • Date

You can adjust placement and size using controls such as Smaller, Larger, and Reset.

  1. Select Send For Signing.

While processing you may see:

  • Generating...

  • Sending...

View generated agreements (draft, sent, signed)

  1. In the sidebar, open Agreement.

  2. Select Generated Agreements.

This tab is described as: “View saved draft and sent agreement snapshots for this budget.”

If there are no saved items, you will see:

  • Title: No generated agreements

  • Description: Save an agreement from Create New to see it here.

Generated agreements show key details such as:

  • Status (for example Draft, Sent, Signed)

  • Effective date range

  • Saved timestamp

Signed agreements preview and download

Signed agreements are grouped under Signed Agreements.

In signed agreement view:

  • If no agreement is selected, you will see Select a signed agreement to preview.

  • While loading, you will see Loading signed document...

  • If a signed document is available, it is previewed as Signed Agreement.

  • You can select Download Signed PDF. While downloading, the button shows Downloading...

  • If a signed document cannot be previewed, you may see Signed document is not available for preview.

Delete an agreement

You can delete an agreement using Delete Agreement.

  • The confirmation dialog title is Delete Agreement?

  • The confirmation button is Delete Agreement

  • If there is no agreement selected to delete, you may see No agreement found to delete

  • After deletion, you will see Agreement deleted successfully

Editing the service agreement file in Business Profile

If you need to update the service agreement file your organisation uses, you can manage it in Business Profile settings.

In ServiceAgreementFile, the section is titled Supplier Service Agreement File and includes:

  • Upload Service Agreement File

  • A file picker labeled Upload File (PDF only)

  • An Upload button

  • If a file already exists, a Download File button

Upload troubleshooting messages include:

  • Please select a file to upload

  • Failed to upload service agreement

  • Failed to download service agreement
