This guide provides clear answers to common questions regarding Imploy’s pricing tiers, billing cycles, and how we calculate staff seats.

Subscription Basics

How does Imploy’s pricing model work?

Imploy is a SaaS (Software as a Service) platform with pricing typically based on the number of active staff seats in your organization. We offer different tiers (Starter, Premium, and Enterprise) so you only pay for the features your business actually needs.

Do you offer a discount for annual billing?

Yes. While we offer monthly flexibility, choosing Annual Billing typically provides a 10-20% discount compared to the month-to-month rate.

Is there a setup or "onboarding" fee?

For larger organizations requiring data migration (importing clients/staff from another system) or custom "white-glove" training, a one-time implementation fee may apply. Contact our sales team for a custom quote.


General Questions

Do you have a free plan?

Yes. Our Starter Plan is free forever, with:

  • Up to 5 users

  • 5 GB of storage

  • Access to essential tools like rostering and the support app

It’s ideal for small teams or new providers who want to get their home care business up and running without upfront costs.

Can I try all the features for free?

Yes! We offer a 7-day free trial with full access to every feature.

Is there free user training included?

Imploy uses pro-rated billing. If you add a staff member halfway through your billing cycle, you will only be charged for the remaining days of that month on your next invoice.

How does the "Free Forever" plan work as my team grows?

Imploy offers a Free Forever plan for teams of up to 5 users. If your company grows beyond this limit (for example, if you need to add a 6th or 7th user), your entire organization must upgrade to a paid plan. You cannot pay for the additional users while keeping the original 5 users on the free tier.

What happens if I add staff in the middle of the month?

Yes! If you’re on the Premium Plan and have 25 or more user, you’ll receive:

  • Free user training sessions

  • A personalised Imploy walkthrough

  • Live Q&A with our onboarding team

Do I get training or onboarding support?

Absolutely! Every plan includes access to demo calls, chat support and step-by-step walk-through guides to help you get started quickly.

What happens when my trial ends?

Your subscription will automatically be downgraded to a FREE plan for upto 5 users. If you have more than 5 users, you can only access your first 5 added users. However, you can have unlimited clients.

How does billing work?

Billing is done by one user (the account owner) on behalf of the entire company. You choose either a monthly plan ($19/user/month) or a yearly plan ($17/user/month, billed as $204/user/year).

When does my billing cycle start?

Your billing cycle starts on the date you sign up. For example, if you sign up on March 20, your billing date is the 20th of every month (monthly) or March 20 every year (yearly).

Do prices include tax?

No, all prices shown are exclusive of taxes.

Will it still be charged for inactive users?

​Yes. Inactive status is for team members on temporary leave (like holiday or maternity). Because their data are reserved for an immediate return, they are still considered active for billing purposes even though they are hidden from your roster. To stop being charged for a user, you must Archive them instead.

Are managers and admins counted as paid users, and does the subscription plan apply to everyone on the account?

Yes, administrators and managers are counted as paid users and require a license. Your selected subscription plan applies to all users across the entire account to ensure everyone has access to the same features.


Adding Users

What happens when I add a new user mid-cycle?

On a monthly plan, the new user is charged based on the remaining days in the current cycle, billed at your next billing date.On a yearly plan, the charge for the new user covers the remaining days in your current year and is billed at the end of the month in which they were added. For example, if your yearly cycle runs March 20, 2025 – March 20, 2026 and you add a user on April 1, the charge is processed on April 20, 2025.

Is there a minimum charge when I add a new user?

Yes. Every user has a 30-day minimum from the date they are added, on both monthly and yearly plans. You will be charged for at least 30 days even if the user is archived before that.


Archiving Users

What happens when I archive a user on a monthly plan?

The user is charged for the full billing cycle in which they were active. No credit is issued for monthly plans — billing simply stops at the end of that cycle and the user is not charged in the next one.If the user was added mid-cycle and has not yet reached 30 days by the end of the cycle, the remaining days to reach the 30-day minimum are carried into the next billing cycle and charged then. After that, billing stops.

What happens when I archive a user on a yearly plan?

It depends on how long the user has been active:Under 30 days active — you are charged for the full 30-day minimum only. The remaining prepaid days beyond day 30 are credited to your account balance.
Over 30 days active — the remaining prepaid days in the year are credited to your account balance immediately.

Where does the credit go when I archive a user on a yearly plan?

Credits go to your company-level account balance and are automatically applied to your next invoice before any charge is made to your payment method.

Can I archive a user immediately after adding them?

You can archive them in the system at any time, but the 30-day minimum billing still applies. On a monthly plan, you will be charged for the full billing cycle. On a yearly plan, you will only be credited for days beyond day 30.


Unarchiving Users

What happens when I unarchive a user on a monthly plan?

If the user is unarchived within the same billing cycle they were archived in, there is no additional charge — they are already paid up for that cycle. If they are unarchived in a new billing cycle, they are treated as a new add and charged for the remaining days in that new cycle, billed at the next billing date. The 30-day minimum restarts from the unarchive date.

What happens when I unarchive a user on a yearly plan?

A charge is calculated from the unarchive date to the end of your current year. Your account credit balance is applied first, and only the remainder is charged to your payment method. The 30-day minimum restarts from the unarchive date.

Will I be double-charged if I unarchive a user I already paid for on a yearly plan?

No. When you archived that user, unused days were credited to your account balance. That credit is automatically applied first when you unarchive, reducing or eliminating the new charge.


Cancellation

What happens if I cancel my subscription?

Your account remains active until the end of your current billing cycle (monthly) or year (yearly). No further subscription charges will occur after that. However, if you added new users during your final cycle, you will receive one last charge at the end of the period to cover the days those new users were active.


Switching Plans

Can I switch from monthly to yearly?

Yes. The switch takes effect at your next billing date. Just a quick reminder that we don't provide refunds for the unused days left in your current month, so you can make the most of your existing benefits until the new plan begins.

Can I switch from yearly to monthly?

Yes, but only at your yearly renewal date. You cannot switch mid-year.
