General Users in IndyForms

Learn how to configure General Users for universal access, and when to use Groups instead.

User Licences

In IndyForms, there are two types of user licences:

  • Administrators – Full access to everything in the platform. No configuration is needed.

  • General Users – All other users who are not Administrators.

By default, General Users can be added as a group to a form and configured with specific permissions. This makes it easy to give “everyone else” in your organisation access to certain forms without setting permissions one by one.

General Users vs Contributors

  • Contributors – Limited to record-level actions only (e.g., submit, edit, or view the record assigned to them). They cannot see all records or access form-wide settings.

  • General Users – A group that can be given additional permissions at the form level, such as creating new records. For example, you might allow all General Users to create feedback records.

This separation ensures contributors remain restricted, while General Users can be given more flexible permissions if needed.


How to Configure General Users on a Form

  1. Open your form in the Form Builder.

  2. Go to the Settings tab.

  3. Scroll to the Access panel.

  4. Add the General Users group to the form.

  5. Configure their permissions (e.g., Create Records, Submit Records, Edit Records).

  6. Publish your changes.

Note: Administrators always have full permissions by default, so no configuration is needed.


Example Use Cases

  • A Feedback Form where you want every staff member (all General Users) to be able to create and submit a record.

  • An Incident Report Form where General Users can create and submit records, but only managers (Administrators) can view or edit all records.

  • A Leave Request Form where all General Users can apply for leave, while Administrators approve or reject requests.

Q. Who counts as a General User?

A. Anyone in IndyForms who does not hold an Administrator licence.

Q. Can I remove someone from General Users?

A. No. General Users is an automatic group for all non-Administrators. To change their access, update the form’s Access settings.

Q. How is this different from Contributors?

A. Contributors are assigned automatically when a user is given access to an individual record. General Users is a platform-wide group you can configure in form settings.


Tips

  • Use General Users when you want all non-Admins to have access to a form (e.g., company-wide forms).

  • If you don’t need universal access, use customised Groups instead to restrict forms to only the right people.

  • Remember: General Users work like a platform-wide group for everyone except Admins — handy, but broad.

  • Keep sensitive forms limited to Administrators or specific Groups.

  • Start with minimal permissions for General Users and expand only if required.
