The Forms Page is your central hub for all forms designed in IndyForms— think of it as your complete form database, where you can manage, organise, and track everything in one place.
Note: If the page appears empty, it means you haven’t published any forms yet! To get started, click + New Design.
1. Filtering and Searching Forms
Use the controls at the top of the Forms Page to quickly find what you need:
Status Filter (drop-down): To display forms based on their current state, choose from New and Active, Active, Inactive, or Any.
Advanced Filters (filter icon): Filter forms by Tags or Access type (Internal or Public).
Search (bar): Enter keywords to search for forms by name or keyword instantly.
These tools make it easy to sort through large numbers of forms and find precisely what you’re looking for.
What form filters are there?
By default, the Forms Page shows only New and Active forms.
New and Active – Shows forms that are recently created (but not yet used) or currently active and live.
Active – Only forms that are published (active) and can be used to create form records.
Inactive – Forms that are not currently live and cannot be used. You cannot create records from these until they are published (active).
Any – Displays all forms, regardless of status.
What are Tags?
Tags help categorise forms for easier searching and reporting. Tags are manually created and managed through the left sidebar under Advanced > Tags.
What is Access in IndyForms?
Access determines who can view and respond to a form. There are two access types:
Internal
Forms marked as Internal are only available to users within your IndyForms account (e.g., team members or assigned users). They require logging in to access and complete.
Public
Public forms can be accessed by anyone with the form link or QR code—no login is required. They are ideal for collecting feedback from customers, external partners, or the general public.
2. Form Actions Overview
Each form on the Forms Page includes a set of action icons next to its name. Here’s what each one does:
Pin Icon - Marks the form as important, so it appears on your Dashboard for quick access
View Records (Hamburger Icon) - Opens a list of all records (submissions) for that specific form. Useful for reviewing or exporting responses.
Create New Record - Opens the form in fill mode, allowing you to create a new record submission yourself.
More Options Menu - Clicking the three dots (...) opens additional options:
Share Form – Share a form record with users, groups, or generate a public link or QR code.
Preview – See what the form looks like without creating a record.
Edit Design – Opens the form in the Form Builder, allowing you to make design changes.
Duplicate Design – Creates a copy of the form (design only, not records).
Delete – Permanently removes the form from your Forms Page (you’ll be asked to confirm).
3. Organising Forms into Folders
You can create folders to better organise your forms by project, category, or team.
How to Create a Folder:
On the Forms Page, go to the Folders section on the left.
Click the ➕ plus icon next to “Folders”.
In the popup window:
Name your folder (e.g. “Onboarding Forms”, “Marketing Surveys”).
Optionally, add a Description to clarify the folder’s purpose.
Click Create to save the folder.
To move a form into a folder, simply drag and drop it from the main list into the desired folder in the sidebar.
Your new folder will appear under the Folders list. Once created, you can move forms into it for better organisation.
💡 Tips for Using Folders:
All shows every form, no matter which folder it’s in.
Unfiled displays forms that haven’t been assigned to any folder yet.
You can drag and drop forms into folders to quickly move them.
Use folders to reduce clutter, streamline navigation, and group related forms!
Frequently Asked Questions
Q. Why can’t I see any forms on my Forms Page?
A. This usually means you haven’t published any forms yet. Go to the Form Builder to create and publish a form. Once published, it will appear on your Forms Page.
Q. Can I recover a deleted form?
A: Yes. All deleted form designs and form records are moved to the Trash section, found under Advanced > Trash in the left-hand menu.
From there, you can:
Click the restore icon to recover a deleted form or record.
Permanently delete items if you no longer need them.
