How to record a change order against a vendor contract or your contract

Overview

A change order is any scope that is added to or removed from the original scope of work within a contract. The change order alters the original contract amount. You can create a change order on behalf of your company to change the scope of your contract with your client, or you can create a vendor change order against a contract with a vendor.

Prerequisites

To create a change order against a contract, the contract must be created and executed first.

Process

If you already have the contract open that this change order will be for, click Create Change Order in the upper right of the contract.

Or, use the Project Navigation Menu to open Contract Changes.

Note: Contract Changes houses both Change Orders and Amendments, which were previously two separate areas of the platform. Amendments are used with GMP contracts.

Click +Create, and a slideout will appear.

To enter a change order, choose Contract Change.

Select the contract this change order is for. If you are creating a change order for your company, choose your contract with your client.

Choose "Start from Scratch" or "Upload Executed Agreement." If you are entering a change order that has already been processed and executed outside of the INGENIOUS platform, choose "Upload Executed Agreement."

Click Next Step.

Details Tab

Fill out the information on the Details tab, including the Name, Unique ID, Type, and Received Date.

If you received a change order outside of the INGENIOUS platform, Unique ID can be used to enter the change order number provided by the vendor.

The Type dropdown is not currently customizable. If you do not see the Type you are looking for, Choose Other and add more detail using the Description field.

You can tie this change order to a Jobsite Location, which can be configured in Project Settings. You can also note the Source of this Change Order from the dropdown.

If you chose Upload Executed Agreement in the previous step, you will also upload the executed agreement here.

Click Next Step.

Supporting Documents (optional)

Upload any supporting documents, if applicable. If you received a change order outside of the INGENIOUS platform, we recommend uploading the PDF or other document you received from the vendor here.

SoV/WBS

You will enter the value of the change order on this tab. Similar to contracts, you can include a work breakdown structure of the change order.

Using the first dropdown menu, choose an existing WBS 1 item from the contract to expand on existing scope, if applicable. If this change order is adding brand new scope to the contract, start typing the new WBS 1 item and press Enter to add it.

Use WBS 2 and WBS 3 to add more detail, if applicable. Use the Unit of Measure, Qty, and Unit Price fields to enter the Value of the Change Order.

TIP: You can also create a $0 change order. In this case, do not include any WBS 1.

The SoV/WBS that is entered here will also populate the invoices associated with this contract and change order.

If the change order is to existing scope, the cost code will automatically populate. If the change order is new scope, enter the cost code.

You can Save as Draft to save your work.

Approving the Change Order

During change order creation, you were prompted to choose either:

"Upload Executed Agreement" or "Start from Scratch."

If you chose "Upload Executed Agreement"

You can simply mark this change order as Executed by clicking Mark as Executed in the upper right. This change order does not need to go through an approval workflow, because it has already been approved and executed outside of INGENIOUS and you are uploading it for record.

If you chose "Start From Scratch"

If you have an approval workflow set up for change orders on your project, click Submit for Internal Approval. If you do not have an approval workflow for change orders, you will be able to Approve the change order.

If you are submitting this change order to a client for review, after internally approving it you can Submit to Client for their approval.

Once the change order is Approved, it can be marked as Executed. A change order must be executed before it can be billed against.

TIP: If you need to generate a change order file for signature, click Export to PDF and send it to the appropriate parties for signature.

Click Execute and upload the change order file that has been signed outside of the system.

Click Execute.

Executed Change Orders will show up as a Committed cost in the Executed Change Orders column of the Budget / ACR.
