Document Annotation

Annotate and mark up document files within a project.

Overview

The Documents module includes a built-in annotation toolbar for marking up files directly in the platform — adding text, shapes, stamps, measurements, signatures, and comment pins. This article covers how to open a document for annotation and what each toolbar tool does.


Process

1. Open a document for annotation

a. Within a project, navigate to the Documents module.

b. Select the folder that contains the document, or use the search bar to find it.

c. Click the file to open it. The annotation toolbar appears alongside the document.

2. Use the annotation toolbar

The annotation toolbar provides the following tools:

  • Panel — navigates the file when it contains multiple pages.

  • View Controls — page transitions, rotate pages, and page layout views.

  • Zoom — zoom in or out of the file.

  • Pan — move markups around the page.

  • Select — select single or multiple markups by drawing a shape around them.

  • View — view the file without applying any other action.

  • Annotate — add annotation text.

  • Shapes — draw shapes.

  • Insert — add a stamp (including custom stamps), photos, files, or callouts.

  • Measure — set a scale and perform measurements. When Measure is selected, click Scale to choose an existing scale, or Add New Scale to define one. Once a scale is set, you can measure:

    • Distance

    • Arc measurements

    • Area

    • Count measurements

    • Perimeter

  • Fill and Sign — add a digital signature.

  • Search — search for content within the file.

  • Menu — additional actions:

    • Fullscreen — expand the document to fill the screen.

    • Download — download a copy of the document to your device.

    • Print — print the file, with options to include comments, annotations, and a watermark.

    • Dark Mode — switch between dark and light mode.

    • Language — change the toolbar's display language.

3. Side panel: Details and Markups

The right-side panel contains two tabs:

  • Details — displays the file name, description, saved location, upload date, file size, and added by. To rename the document, click the pencil icon next to the file name in the Details panel.

  • Markups — add comment pins to the document. You can tag someone from the project directory in a comment. You can also right-click anywhere on the document to add a comment pin as a shortcut. This comprehensive suite of tools ensures you can annotate, collaborate, and manage documents efficiently—reducing manual work, enhancing accuracy, and improving team communication.
