Understanding Account Types
Add / edit account types within your company workspace to control employee permissions

Overview

An employee's account type determines the level of access to the workspace an employee has within Ingenious. Account types are assigned to all users across the platform. The process below breaks down default account types and how to create custom account types.

Who can assign Employees an Account Type?

To add / edit account types, you must be assigned an Administrator account type. To see which account type you have, click the person 👤 symbol in the upper right-hand corner of the screen and click My Account. Your account type will be listed here.

*Only Pro Subscribers can have access to Account Types

Process

Setting / Editing an Employee's Account Type

  1. Navigate to the Employees module located on the left-hand navigation

  2. Select the employee, their employee profile card will appear > Click Edit

  3. Click the Account Type drop down and select the Account Type you want to change them to:

Note: the account type you give an employee does not relate to the job role or title of the employee, it is only used as a setting to grant certain access to the platform.

Default Account Types

Within your workspace there are a set of default account types available for you to assign to employees.

*All account types have automatic access to Contacts (Companies & Contacts), personal Timesheets and Expenses*

  • Accounting: access to the Employees module, all accounting modules (payroll report, profitability report, ect), access to all projects and view of all employee timesheets/expenses

  • *Administrator*: access to every module within the workspace. Only account type that has access to Company Settings.

  • Engineer (DesignIO): access to assigned projects only

  • Field Employee (SubIO): no access to the platform (used for schedule planning)

  • IT Administrator: access to every module within the workspace with the exception of the Accounting modules and the HR tab within the Employees module.

  • Project Executive: ability to create projects, edit Lists & Templates, edit Funding Sources (if-workspace applicable), contracts, access to projects assigned to, employee resource planning, employee schedule, employee timesheets (no access to employee's profile)

  • Project Manager: access to assigned projects only unless Admin overwrites ability for Project Manager create projects within the Company Settings, view only rights to List & Templates module

  • Shop Foreman (SubIO): access to assigned projects, personal expenses and schedule

  • Sales Executive: access to employee timesheets, funding sources, all projects, all timesheets/expenses

Creating Custom Account Types

As an Admin you have the ability to create custom account types with unique permissions for your employees to be categorized in. Below will walk you through this process:

  1. Click Employees module dropdown on the left hand navigation > click Employees tab to access list of employees in your company workspace

  2. Click the round ➕ icon in bottom right corner > click Account Types

  3. Click Add Account Type button at the bottom of the pop-up window to add an Account Type:

  4. Enter the custom name(s) of the account type you wish to add to your company's workspace.

  5. Select the access levels you want each account type to have:

  • Estimating: edit rights to received RFP's and Proposals modules for your company's proposals up to clients

  • Project Management: access to all modules available for a given project that user is assigned to. Employee will need to be added to the project to gain access to it.

  • Materials Management: ability to add/request materials to the material database (beta)

  • Equipment Management: ability to add/request equipment to the equipment database (GC & SubIO platforms only)

  • Accounting: Accounting features including payroll

  • Payroll: access to managing all employee timesheets and payroll

  • HR/User Management: ability to add/edit employees and their profiles

6. Scroll down and click Save to store your edits.

Once custom account types have been entered, you can assign them to any employee.
