Configuring incoming referral statuses

You can configure incoming referral statuses to suit the needs of your clinic. For each status, you can create actions that must be completed to save the referral. For example, the status of Accepted can require registering the patient, booking an appointment, and sending an acceptance letter. If a user does not complete the action, they cannot save the referral.

You can then filter the Referrals list by status.

You can customise your different waitlists with their own referral statuses, see Creating waitlists for your clinic. When viewing a referral and when filtering a waitlist by status, you only see the applicable statuses for that waitlist. The default referral statuses you select in the Default statuses tab are used for referrals without a waitlist, or if no custom statuses are configured for that waitlist.

πŸ“Œ Note: Some statuses are preloaded by default to your CHR domain, such as Draft, Requested, Triaged, Accepted and Rejected.

⚠️ Important: Do not delete incoming referral statuses if there are patients in your referral list with that status.

Steps

  1. From the main menu, click Settings > Referral > Default statuses tab.

  2. To edit an existing status, click the status and adjust the icon, colour, name and/or the required action(s).

  3. To add a new status, click +Add Status. The New Status window opens.

  4. Select an Icon and Colour.

  5. In the Name field, type the status name.

    πŸ“Œ Note: You are able to create more then one status with the same name.

  6. Select the required action(s) for the specific status that must be completed before a user can save the referral.

Description

Register the patient (Incoming only)

Prompts you to add the referred patient to your database.

πŸ“Œ Note: If the patient already exists in your database, the action is automatically marked as done.

Require to select a waiting List

Prompts you to assign the referral to one of your waiting lists. See Creating referral waitlists.

πŸ’‘ Tip: If you select the incorrect waiting list, you can change it once the action is marked as complete.

Book an appointment

Prompts you to book an appointment with a clinic provider.

πŸ“Œ Note: If a referred patient has an existing appointment, you can link the referral to the existing appointment. Click Link Existing and choose from the list of the patient's upcoming appointment(s).

Send waitlisted letter (Incoming only)

Prompts you to send a waitlisted letter to the ordering provider.

Send acceptance letter (Incoming only)

Prompts you to send a letter to the referring provider indicating you have accepted the referral.

Send rejection letter (Incoming only)

Prompts you to send a letter to the referring provider indicating you have rejected the referral.

Notify Patient - Referral Request Accepted

Prompts you to send a notification to the patient that you accepted the referral.

Notify Patient - Referral Request Received

Prompts you to send a notification to the patient that you to received the referral.

Notify Patient - Referral Request Rejected

Prompts you to send a notification to the patient that you rejected the referral.

Send referral form (Incoming only)

Sends a form to the ordering provider to complete. For example, you want the patient to go for certain X-Rays before the consultation. See Sending forms to ordering providers.

Send online booking invitation to patient (Incoming only)

Gives the patient the option to book an appointment online, based on the provider's calendar availability for eBooking.

Send patient app invitation

Prompts you to send the referred patient an invitation to use the patient app (UpPatient).

πŸ“Œ Note: For you to see this action, the patient app has to be configured for your CHR domain. See Overview of the TELUS CHR patient app.

πŸ’‘ Tip: You can resend the invitation from the same referral window.

Archive this record

Removes the referral from the Referrals list.

πŸ“Œ Note: The referral will still be visible in the patient's chart, under Referrals.

7. Click Save.

πŸ“Œ Note: If your clinic uses one status most of the time when receiving referrals, you can select it as the default status. This way, CHR users do not have to select the status every time they receive a referral.

To set a referral status as default, click Default next to it.
