Pipedrive Integration - Documentation

Make sure you are logged into your Pipedrive account in a separate tab.

1. Go to Setup → Integrations → Pipedrive and click on the “Pipedrive Marketplace” link.

2. You will be redirected to Pipedrive Marketplace, where you need to click the “Explore Marketplace” button.

3. On the newly loaded page, type “invox” in the search field and click the “Search” button.

4. Click on the INVOX card from the search results, then click the “Authorize” button

then click “Allow and Install”.

You will be redirected back to the INVOX platform, where you need to finalize the integration settings.

Once these steps are completed, the INVOX–Pipedrive integration will be active and ready for configuration.

1. Leads – Call Source Configuration

Where the call source is sent

Choose where the call source should be saved:

  • Person

  • Deal

  • Both Person & Deal

Selecting the source field

  1. Select the Pipedrive field where the call source will be populated.

  2. Important: the selected field must be of type ENUM (Single Option).

    This is mandatory in order to filter sales reports in Pipedrive by call source.

Click Save to apply changes.

Field options

You have two ways:

The field already exists in Pipedrive

  • It will appear in the dropdown and can be selected directly. The field must be of type ENUM (Single Option).

The field does not exist yet, then you have 2 options:

  • Create the field directly from INVOX

    • Click Create new Field

    • Enter the field name

    • Click OK

      → The field will be automatically created in Pipedrive as ENUM (Single Option)

  • Create the field in Pipedrive

    • Create a custom field in Pipedrive → Custom fields

    • Mandatory: the field must be Single Option

Important notes

  • If the Person already exists, the Lead Source will not be added again.

  • If a Person already has a Lead Source, it will not be modified or updated by future calls.

Adding source values in Pipedrive

After saving:

  1. Open the Pipedrive account menu

  2. Go to Personal preferences → Data fields

  3. Select Person (or Deal, depending on your setup)

  4. Open the field selected above

  5. Add all the sources defined in INVOX Tracking Numbers

INVOX channels

To define new channels in INVOX, follow this guide

After creating the channels:

  • make sure the channels are added in the Pipedrive field you selected above

  • then map them in:

    • Field Mapping: Person Leads

    • Field Mapping: Deal Leads

Default sources for Dynamic Tracking Numbers

If your tracking numbers are set as Dynamic, make sure to add the following sources to the Pipedrive field you selected above:

  • Organic Search

  • Paid Search

  • Social

  • Referral

  • Direct

  • Offline

2. Lead Behavior – Existing Deals

Choose what should happen when a Person already exists in Pipedrive and has an associated Deal.

Deal exists and is Active

  • Add the call to this Deal

  • Create a new Deal

Deal exists and is Lost

  • Reopen the Deal

  • Create a new Deal

Deal exists and is Won

  • Reopen the Deal

  • Create a new Deal

3. Phone Mapping – Assigning Calls to Users

On the left side, you will see the Receiving Numbers configured in INVOX.

On the right side, select from the dropdown the corresponding Pipedrive user for each number.

This ensures that each call is assigned to the correct Pipedrive user.

4. Field Mapping: Person Leads

In this section:

  • map each INVOX source

  • to the corresponding values added to the Person ENUM field configured in step 1.

5. Field Mapping: Deal Leads

Here you will:

  • map each INVOX source

  • to the values added to the Deal ENUM field configured in step 1.

6. Miscellaneous

  • Pipedrive Pipeline: Select the pipeline where incoming calls should be created as Deals.

  • Default Stage: Select the default stage where new Deals created from calls will be placed.

Uninstalling the Integration

To uninstall the INVOX - Pipedrive integration, simply click the “Disconnect from Pipedrive” button.
