EMIS Opt Out Process (SNOMED Codes)

A guide to Identify the list of patients that have opted out of SMS Messaging in EMIS

Written by Tom Clewes

Practices are required to email iPLATO – iplato.sms@nhs.net with the report showing patients that have opted out of SMS messaging. This will ensure that these patients are excluded from any SMS communications that are sent.

Instructions are shown below on how to create and run this report:

Step 1: Build a search in EMIS Web

  1. From the homepage select the EMIS Ball > Reporting > Population Reporting

2. Then select Add > Folder from the options

3. Name your folder ‘SMS Patient Opt out list - MONTH YEAR’. Once saved your folder will appear in the dropdown list of folders your practice already has created.

4. Click on the folder and then from the Ribbon select the Green Add > Patient > Search.

5. Name your search – Patients 18 years+ with no consent to SMS messaging. Under Based on options select: Currently registered regular patients. Then press OK.

Step 2: Adding criteria to your search

Start by adding rules to your search of patients you wish to identify.

  1. Select click here to begin adding rules to this search.

2. Select create a new rule

3. Select Click here to choose the type of feature you would like to create > Patient Details

4. Select Click here to add criteria to this feature > Age > Age is Older than 17 years and select ok and OK

You now need to identify and include those patients that have opted out of SMS messaging, to do this:

5. Select Click here to add another feature to this rule.

6. Select Create a new feature > Click here to choose the type of Feature you would like to create > Clinical Codes

7. Select to Click here to add criteria to this feature.

8. Select Clinical code & New code list.

You now need to add to the search each of the SNOMED codes that identify patients that have recorded in their medical records that they have opted out of SMS messaging.

A list of these SNOMED codes is shown below:

9. Add each code to the Search box as shown below and then select ok and ok again.

Step 3: Run the Report

  1. Select the ribbon and then select Save and Run > Run this report? > Yes.

A report of patients identified will show on the screen Patients 18 years + with no consent to SMS messaging.

You may have to select the SMS Patient opt out list folder too if your practice has numerous searches being run at this time.

Step 4: Export Results

  1. Once the report has run select the Export Results icon from the ribbon > Excel

On the Export Tabs you should select Population Included + Include confidential patients

2. Save the results where you would normally save your searches.

3. Open the report, when Microsoft Excel prompts you regarding the file format – select Yes.

4. The report to send to iPLATO only needs to include NHS Numbers, Practice Name and ODS Codes – please remove the remaining columns and add your Practice Name and ODS Code

Step 5: Send report to iPLATO

Email your report to iPLATO’s secure NHS email address – iplato.sms@nhs.net with your practice name and practice code in the subject line
