How to create and send a booking invitation and what your client sees.

Booking Invitations

Booking invitations let you send a specific client a personalized set of available dates and times to choose from, right from their profile in Iris. Unlike a general booking calendar (which is shared broadly via a URL on social media, email, etc. for any client to book), a booking invitation is created for one client at a time. Once you send an invitation, it appears as a Pending Session on that client's profile — and once they book a time slot, it automatically updates to a confirmed/upcoming session. This makes it easy to keep track of who still needs to book and who's all set.

From the client's profile, click the Booking button to create a booking invitation for that client.

Select the available dates and times you'd like to offer, then add a title and introduction message that your client will see.

Add a single time slot, or multiple dates/times to your booking calendar by selecting a date, start and end time, then click Add to calendar to make it available for your client to book.

Fill in the session details — including session type, workflow, location, and notes — and choose whether to require a contract or invoice before your client can confirm their booking.

Finish setting up the booking invitation by selecting an email template (or writing your own) and pasting the booking link into the email body. Then send it directly to your client, or simply copy the unique link to share however you'd like.

When your client opens the booking link, they'll see your intro message and can click Book Appointment! to view your available dates and times.

Your client sees a calendar highlighting open dates and can select an available time slot to book their session.

After choosing a time, your client is taken to the contract, which is automatically populated with their session details like date, time, and contact information.

Your client reviews the contract terms, checks the I agree box, and types and signs their name to complete the contract step.

Once the contract is signed, your client sees the invoice for their session — including line items, payment schedule, and the balance due — with a countdown timer showing how long their selected time slot is reserved.

Once your client pays, a confirmation page appears letting them know their session is booked — and the workflow attached to the booking invitation automatically kicks off.

Until your client completes the booking process, you'll see the invitation listed under Pending Sessions on their profile — click the pencil icon to reopen or edit it, or the X to cancel it. Once they finish booking, it will automatically move into the Upcoming Sessions section.
