Within your Lead or Estimate Navigate to Estimates > Bid Packages and choose the
button.
Set a Name, the Reply To field for where you would like email responses to go and a required Due Date then choose
.
Customize the Email Message, optionally utilize Tokens which pre-fill relevant details and existing estimate information. Then start adding the Items from the drop-down under Quote Items. These items are populated from the items list in your Costings.
Supplier / Sub Responses
You can select more than one supplier per Bid Package using the Add Company drop-down. Send out the request right from this menu with the 3 dots on the far right. Or you can click into each suppliers line, which opens a separate menu where you can customize the message per supplier.
💡If you would like to receive a copy of your RFQ for reference, you can include your company email address in this section.
Project Documentation and Attachments
Choose what information you would like to have included in the request. Use the tick boxes-Include plans and takeoff or Include specifications PDF, to show additional options. You can then customize your bid package documentation.
The Edit Selection buttons will open a menu to the right for more customization.
To include attachments other than the quote, plans or specifications in your Request for Quote, either drag and drop the files into the attachments box. Or click browse, and select files to upload. Once you have completed this step, you can choose to Save your RFQ or Send it off to your supplier/contractors.
Receive and Accept Quote(s)
The recipient will need to email the completed quote back to the builder directly outside of Jack.
When a Quote is returned, navigate to Estimates > Bid Packages to view the Bid Package you want to process from your supplier/contractor.
Under Supplier / Sub Responses, select the supplier/sub that you want to record a response against.
Record the response by entering the Quantity (Qty), Unit of Measurement (UOM), and the Price for each quoted item.
Click Save to update this information. If you have already received a quote response, click
. A pop-up will appear to remind you that approving the quote will update the pricing in the estimate.
ℹ️ You can Revert Quote Approval if you have approved the wrong quote and then approve another quote to overrule the existing quote.
How your estimate will look after a quote approval
After approving the quote, JACK App will automatically:
Assign pricing for all items from the approved quote to your estimate costings
Lock these Cost Items as they are now linked to the Bid Package
Assign the contractor to the corresponding line items (this is useful for our Auto Purchase Order feature)
