Safety and Compliance Settings

Jack lets you build custom compliance forms for Safety Induction users and linked Suppliers & Contractors. Using the same form builder with different triggers and notification recipients.

Safety Induction Requirements

Navigate to Settings > Safety & Compliance > Safety Induction Requirements and click to open the form builder.

  • Enter a heading for your document (e.g., Site-In).

  • Answer the presented questions.

  • Use the tick boxes to select the Type(s) of user this form applies to. This determines which Type of contact the compliance forms will automatically appear within each individual contact card.

  • Click Next to customize what displays on your form.

  • Use the individual Show and Required toggles to turn sections on or off.

  • Add custom questions with the Additional Requirements option.

  • Click Next to set your communication preferences

  • Choose when to notify the recipient, select the recipient and set the notification timeframe.

  • Click Save to complete the setup.

ℹ️ A Safety User is someone who scans the QR code to access Jack but isn't already in your database. Jack automatically captures the details they submit, adds them to your Safety Users list, and lets you create a saved contact from that information.

Supplier & Contractor Compliance

Compliance forms for suppliers and contractors follow the same builder, but link directly to a supplier or contractor record, streamlining the request process.

Navigate to Settings > Safety & Compliance > Supplier & Contractor Compliance and click to start a new form.

  • Enter a Form heading for your document (e.g., COI).

  • Answer the presented questions.

  • Use the tick boxes to select the Type(s) of user this form applies to. This determines which Type of contact the compliance forms will automatically appear within each individual contact card.

  • Click Next to customize what displays on your form.

  • Use the Show toggles to turn each requirement on or off and add anything else in Additional Requirements.

  • Click Next to set your Notification preferences for expiration of your form.

  • Compliance Communication Preferences based on the document's expiry date. Tick the boxes to select who gets notified, and set the Notification Timeline (e.g., one month prior to expiry).

  • Click Save to complete the setup.

What will the recipient see?

Now that the forms are set up. You can navigate into the Subs or Suppliers company contact to send the form out requesting completion.

Navigate to Contacts > Sub or Supplier > Relevant company > Compliance.

From here choose the . This will send an email notification to the email listed under Details for the company.

They will receive an email with a link, which does not require a log in, requesting for them to complete the forms.

They are then presented with the custom form you created to complete with their information.

ℹ️ To Delete a Compliance Form Navigate to Settings > Safety & Compliance. Locate the red trash can to remove.
